Position Summary
We are seeking a highly organized, tech-savvy Marketing Coordinator & Legal Intake Specialist to support the firm's marketing, digital presence, lead generation, and new-client intake operations.
This position combines marketing coordination, legal lead intake, website development, website management, SEO, and client communication. The ideal candidate understands the importance of professionalism and confidentiality in a legal environment and can effectively turn online inquiries and marketing leads into qualified prospective clients.
The successful candidate will help manage the firm's website and online presence, improve search-engine visibility, coordinate marketing campaigns, respond to prospective clients, conduct initial intake, and ensure that qualified leads are promptly and accurately transferred to the appropriate attorney or case team.
Key ResponsibilitiesMarketing & Business Development
- Coordinate the firm's digital and traditional marketing initiatives.
- Develop and maintain marketing calendars, campaigns, promotions, and outreach initiatives.
- Create and coordinate content for the firm's website, blogs, email campaigns, social media, and other marketing channels.
- Track marketing leads and monitor campaign performance.
- Assist with reputation management, online reviews, community outreach, and referral-source development.
- Maintain consistent branding, messaging, and professional presentation across all marketing channels.
- Research competitors, legal-industry marketing trends, and opportunities for increasing visibility and lead generation.
Legal Intake & Lead Management
- Respond promptly and professionally to phone calls, website inquiries, emails, online forms, and other prospective-client leads.
- Conduct initial client intake using firm-approved scripts, questionnaires, and procedures.
- Gather accurate information regarding the prospective client's matter, including contact information, case background, relevant dates, and supporting details.
- Identify whether a prospective client appears to meet the firm's basic intake criteria.
- Schedule consultations and appointments with attorneys.
- Enter and maintain lead and intake information accurately in the firm's CRM or case-management system.
- Follow up with prospective clients who have not yet scheduled or completed a consultation.
- Maintain accurate records of lead sources, outcomes, consultations, and conversions.
- Escalate urgent, sensitive, or potentially high-value matters to the appropriate attorney or supervisor.
- Maintain strict confidentiality when handling prospective-client information.

Website Development & Management
- Manage and maintain the firm's website and landing pages.
- Coordinate website updates, including attorney biographies, practice-area pages, FAQs, blogs, contact forms, and other content.
- Work with WordPress or other applicable CMS platforms.
- Troubleshoot basic website issues and coordinate with outside developers when advanced technical assistance is required.
- Monitor website functionality, forms, links, page speed, mobile responsiveness, and user experience.
- Assist with the development and optimization of landing pages designed to generate qualified legal leads.
- Coordinate website redesigns, technical updates, integrations, and ongoing improvements.
SEO & Digital Marketing
- Develop and implement local and organic SEO strategies designed to increase the firm's visibility in search engines.
- Conduct keyword research related to the firm's practice areas and target markets.
- Optimize website pages, titles, meta descriptions, headings, internal links, images, and content.
- Develop and maintain local SEO initiatives, including business listings and location-based content.
- Monitor Google Search Console, Google Analytics, and other applicable analytics platforms.
- Track organic traffic, rankings, conversions, and other key performance indicators.
- Identify technical SEO issues and coordinate their resolution.
- Assist with content strategies designed to attract qualified prospective clients.
- Monitor competitors' online visibility and identify opportunities for improvement.
- Work to improve organic lead generation and the firm's overall online presence.
Analytics & Reporting
- Track leads from their original marketing source through intake and consultation.
- Prepare regular reports on:
- Number of leads
- Qualified leads
- Consultations scheduled
- Consultation show rates
- Lead-to-client conversion rates
- Website traffic
- Organic search performance
- Marketing campaign performance
- Cost per lead, when applicable
- Use data to identify successful marketing channels and areas requiring improvement.
Required Qualifications
- 2+ years of experience in marketing, legal intake, digital marketing, client intake, or a related field.
- Experience working in a law firm or professional-services environment strongly preferred.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Professional and empathetic telephone manner.
- Ability to handle confidential and sensitive information appropriately.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines.
- Comfortable communicating with prospective clients who may be stressed, emotional, or experiencing difficult circumstances.
Technical Qualifications
