Salem’s Office Manager is responsible for ensuring the smooth running of all operational activities at Salem Lutheran Church. This includes preparing for weekly and seasonal worship, organizing church programs and events, welcoming and supporting all who engage with the church, ensuring policies and procedures are fully compliant and enforced, and managing the church office.
General Agreement: Salem will provide a safe, healthy working environment with necessary equipment and resources. Office hours are Monday to Friday, 8am–3:30pm, half an hour provided for lunch, totaling 35 hours per week.
Essential Functions:
Weekly:
- Prepare materials for worship services including bulletins, PowerPoint, sound booth print-out, Scripture reading pages, worship communication cards, sign-up sheets, etc.
- Upload worship recordings to online platforms
- Manage the church office including greeting guests, handling phone calls, mail, email
- Consolidate input from worship registration forms and distribute to staff, committees, and congregation as indicated
- Straightening of church resources (keep kiosk items up to date and stocked, remove used worship materials, make devotionals available, provide signage for upcoming events)
- Maintain the church calendar (detailed for office use, council’s year-in-review check-list, and online format linked to the webpage)
- Prepare and distribute church communications: Weekly email update to the congregation, email prayer requests and death notices, inter-committee communication, weekly happenings to C-I Courier for publication, LED sign updates for community interface
- Manage the church database of members with updated information and attendance
- Provide support for staff, Pastor, Church Council, Outreach Governing Board, and various committees (printing reports, forwarding communication, notifying of meetings, etc)
- Order supplies as necessary (office, kitchen, etc), manage budget for office supplies and worship items
- Monitor entrances and provide for building security; unlock/lock doors, turn on/off lights, and set thermostats for groups using the building; train and provide for groups outside office hours
- Manage and develop administrative systems within the church office
Monthly:
- Prepare and distribute church newsletter, completed by the first Sunday of the month
- Maintain lists of current visitors, prospective members, new members, membership changes
- Communicate with custodian about special events or needs
- Oversee service contracts including the copier, postal service, advertising, etc.
- Update care lists, celebration contacts, and grief materials in coordination with the pastor
- Keep church files (minutes, meeting documents, bulletins, newsletter, etc.)
- Maintain current information on the church website in coordination with the pastor
Occasionally:
- Prepare ads and news releases for Church services and activities
- Facilitate for building repairs/updates when needed
- Ensure requirements are met for any bookings or church events
- Renew and maintain subscriptions
- Submit yearly reports to the Evangelical Lutheran Church in America
- Register Pastor and congregation members for Synod events, provide materials
