Job description
As Events Coordinator, you are at the heart of creating a positive experience for those interested in renting our facility. You oversee the rental process from initial inquiry to post-event follow-up communication, and you lead and support the growth of a part-time, hourly Event Staff and A/V team. This position demands a strong organizational mindset and well-honed communication skills. You report to the Executive Director of Finance & Operations (EDFO) and collaborate with them to continue the modernization of the rental experience at ESSL. Skills & Experience Needed
- Strong communication skills for external and internal purposes: in-person, phone and email
- Ability to professionally, kindly and clearly represent ESSL
- Facility, appointment, and resource coordination
- Team leadership including collaborative applicant evaluation
- Detail orientation
- Two years of experience in special events, rentals, hospitality, or customer service, preferred
- Experience using Microsoft Office/Teams for remote, asynchronous collaboration (or willingness to learn) required
Responsibilities
External communication:
- Respond promptly by phone or email to all rental inquiries
- Schedule and host (or organizing hosting of) site tours for interested renters
- Communicate with renters to understand Celebrant-, Event-, and A/V Staff needs
- Create equitable use agreements for a range of renter profiles
- Send invoices and monitor payment timelines
Staff leadership:
- Communicate renter needs and agreements with Celebrant, Event- and A/V Staff
- Schedule Celebrant, Event- and A/V Staff for booked events.
- Organize and lead training sessions for new team members and as needed for existing Event Staff
- Support recruitment and hiring of new team members, as needed
Organizational leadership:
- Lead ongoing assessment and optimization of rental policies and processes
- Improve how ESSL facilities are depicted and represented outwardly
- Support EDFO in rentals budgeting and forecasting
- Maintain facility use calendar in collaboration with EDFO
Job Type: part-time, mostly remote with occasional presence at ESSL required for site tours and training
Schedule: variable, average of 5 hours/week, year round
Pay: $30/hour; you will keep a timesheet and be paid semi-monthly
