JOB TITLE: Operations Specialist
LOCATION: Fremont, California
JOB OBJECTIVE:
Under direct supervision of The Controller, The Operations Specialist will perform a cross-functional role responsible for supporting day-to-day business operations across Accounts Receivable, Purchasing, Shipping, Inventory, and other operational functions.
ESSENTIAL DUTIES:
Accounts Receivable
- Process customer payments and maintain accurate customer accounts.
- Monitor aging reports and assist with collections.
- Resolve customer billing discrepancies.
- Process credit memos and account adjustments.
- Support month-end Accounts Receivable close.
Purchasing Support
- Create and maintain purchase orders.
- Follow up with vendors on order status and deliveries.
- Maintain purchasing records and documentation.
- Coordinate purchasing activities with internal departments.
Shipping & Operations
- Assist with shipping documentation and order processing.
- Support shipping label workflows and order fulfillment.
- Assist with inventory-related administrative tasks.
- Collaborate with Customer Service, Production, and Accounting.
Administrative Support
- Maintain accurate records and electronic filing.
- Prepare reports and spreadsheets.
- Support special projects and process improvement initiatives.
- Perform other duties as assigned.
MANDATORY QUALIFICATIONS:
- High school diploma or equivalent required.
- One (1) to three (3) years of experience in office administration, customer service, purchasing, operations, accounting support, or a related field preferred.
- Equivalent combinations of education, training, and experience will be considered.
- Strong computer skills, including Microsoft Excel and Microsoft Office.
- Experience with ERP systems (Sage 100 preferred) is a plus.
- Ability to learn new software, business processes, and technology quickly.

COMPENSATION AND BENEFITS:
Compensation: $31.00–$34.00 per hour, depending on qualifications and experience. Comprehensive company-paid benefits, including medical insurance, 401(k) with company match, paid sick leave, vacation, and holidays.
