Position: DME Clerk

We are an established independent pharmacy seeking an experienced and dependable Durable Medical Equipment (DME) Clerk to join our team. This position is responsible for coordinating DME services from patient intake through billing, including documentation, insurance verification, prior authorizations, claims, equipment orders, and inventory.
The ideal candidate is highly organized, detail-oriented, comfortable working with patients and healthcare providers, and knowledgeable about the documentation and billing requirements associated with DME.
Key Responsibilities
- Assist patients with DME needs and coordinate equipment and supply orders.
- Complete patient intake and maintain accurate DME documentation.
- Verify insurance eligibility, benefits, and coverage requirements.
- Obtain prescriptions, medical records, certificates of medical necessity, and other supporting documentation when required.
- Submit and follow up on prior authorizations.
- Prepare and submit DME claims to Medicare, Medicaid, and commercial insurance plans as applicable.
- Review claims for accuracy and required documentation before submission.
- Follow up on rejected, denied, or unpaid claims and assist with resolving billing issues.
- Maintain complete and organized patient DME files.
- Communicate with physicians' offices and other healthcare providers to obtain required documentation.
- Educate patients regarding equipment, insurance requirements, paperwork, and financial responsibility.
- Process DME orders and coordinate equipment pickup or delivery.
- Maintain DME inventory and assist with ordering and receiving equipment and supplies.
- Track outstanding documentation, authorizations, orders, and claims to ensure timely completion.
- Follow pharmacy policies and applicable HIPAA, payer, and DME documentation requirements.
- Provide professional and compassionate customer service to patients and caregivers.
- Assist with additional pharmacy and DME department responsibilities as needed.
Qualifications
Required:
- Certified DME experience.
- Previous experience working with durable medical equipment, medical supplies, or DME billing.
- Knowledge of DME insurance billing, claims, documentation, and prior authorization processes.
- Experience verifying insurance benefits and communicating with insurance companies.
- Strong understanding of the importance of complete and accurate documentation.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to communicate professionally with patients, physicians' offices, insurance companies, and other healthcare professionals.
- Ability to manage multiple patient orders, authorizations, and claims simultaneously.
- Basic computer proficiency and ability to learn pharmacy/DME software.
Preferred:
- Experience working in an independent retail pharmacy or DME supplier.
- Experience with Medicare and Medicaid DME billing and documentation.
- Experience resolving DME claim denials and obtaining missing documentation.
- Familiarity with DME inventory management and equipment ordering.
- Bilingual English/Spanish is a plus.
