Job Summary:
We are seeking a vibrant and organized Front Desk Receptionist/Legal Assistant to join our boutique law firm. This vital role combines front desk responsibilities with legal support tasks, ensuring smooth office operations and exceptional client service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills with the eagerness to learn. You will serve as the first point of contact for visitors and clients while providing crucial administrative assistance to our legal team, including both attorneys and paralegals. Duties
- Greet visitors, clients, and vendors warmly, providing exceptional customer service and maintaining a professional office atmosphere
- Manage multi-line phone systems efficiently, directing calls accurately and courteously using proper phone etiquette
- Assist legal staff with document preparation, filing, and maintaining case files with meticulous attention to detail. Filing experience or ability to learn is a must.
- Perform clerical duties including organizing files, scanning and shredding closed files, and maintaining the overall file system.
Qualifications
- Receptionist / legal assistant experience is a plus but not required, but the ability to learn/adapt to the busy/high stress environment is a must.
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills. Required.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Required.
- Bilingual abilities are highly desirable to serve diverse client needs effectively, but not required.
- Exceptional customer service skills with professional phone etiquette and clear communication abilities.
- Experience with clerical tasks such as filing systems, calendar management, and administrative tasks such as copying, scanning, and faxing.
- Ability to do out of office administrative tasks such as going to the bank and various town clerk's offices. Transportation required.
- Ability to work independently and under a managing paralegal.
Hours: 9:00a.m. to 4:00p.m.
There will be a 60-day introductory period for all candidates. This period allows us time to evaluate your performance and ensure this role is the right fit.
