Operations and Business Manager
Reports To: Head of School
Employment Status: Full-Time, Hourly, Non-exempt, 11-Month Position
Compensation: $28.00–$35.00 per hour, DOE
Typical Schedule: Monday–Friday, approximately 40 hours per week. Occasional evening or weekend hours may be required to support Board meetings, school events, or operational needs.

Position Summary
Silverwood School is seeking an experienced, highly organized Operations & Business Manager to oversee the systems, people, and infrastructure that support the daily operations of the school.
This position is responsible for ensuring that school operations run smoothly, efficiently, and in alignment with Silverwood’s mission. Areas of responsibility include human resources, facilities, compliance, student systems, and general administrative operations.
Working closely with the Head of School, the Operations & Business Manager serves as a trusted thought partner in implementing systems, improving workflows, and supporting the effective day-to-day functioning of the school.
This role is well suited for someone who enjoys balancing planning and execution, thrives in a dynamic environment, and takes pride in creating order, clarity, and consistency in a busy school setting.
Key Responsibilities
School Operations & Administration
- Oversee student information systems, enrollment and re-enrollment processes, state reporting, immunization compliance, and student records.
- Maintain school policies, operational documentation, and records to support compliance and accreditation efforts.
- Develop and improve operational systems, office procedures, and administrative workflows.
- Coordinate school calendars, logistics, purchasing systems, and annual operational planning.
- Support the Head of School with operational projects and day-to-day administrative needs.
- Collaborate closely with the Business and Front Office Coordinator to ensure efficient school-wide operations.
Human Resources
- Coordinate recruitment, hiring, onboarding, employee orientation, personnel records, benefits administration, leave management, and employment documentation.
- Ensure compliance with employment laws and maintain confidentiality of all personnel information.
- Support implementation of personnel policies and staff procedures to ensure consistency and clarity.
- Assist with employee evaluations, contract administration, and HR documentation.
- Support staff onboarding and contribute to a positive and professional workplace culture.
Facilities & Campus Management
- Provide oversight of campus facilities, maintenance operations, safety systems, inspections, and improvement projects.
- Manage vendor relationships, service contracts, and procurement to ensure quality, cost-effectiveness, and timely completion of work.
- Coordinate campus safety procedures and support emergency preparedness planning.
- Administer campus lease agreements and partnerships, ensuring accurate contracts, compliance, and positive working relationships.
- Coordinate purchasing of operational equipment and supplies needed to support school functions.
Compliance & Systems
- Ensure compliance with nonprofit, employment, health, safety, and independent school regulations.
- Support accreditation efforts by maintaining required operational documentation and records.
- Oversee administrative systems and ensure data accuracy across school platforms.
- Maintain operational policies and procedures to support consistency and accountability.
- Support required reporting and documentation for state and regulatory requirements.
Leadership & Community
- Serve as a member of the Leadership Team.
- Support the Head of School in implementing operational priorities and school-wide initiatives.
- Foster strong working relationships with faculty, staff, families, vendors, and administrative colleagues.
- Prepare operational reports and documentation for Board committees as requested.
- Model calm, organized, and solutions-oriented leadership in a dynamic school environment.
- Contribute to a collaborative, service-oriented administrative culture.
Qualifications: Required
- Bachelor’s degree or equivalent combination of education and professional experience.
- Three or more years of experience in operations, administration, human resources, nonprofit management, or school settings.
- Strong organizational, problem-solving, and project management skills.
- Excellent attention to detail and sound professional judgment.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a dynamic environment.
- Ability to maintain confidentiality in all aspects of work.
- Proficiency with Google Workspace and common administrative systems.
- Must successfully pass a comprehensive background check in accordance with Washington State requirements for school employees, including criminal history and reference checks.
Preferred
- Experience in an independent school or nonprofit organization.
- Experience with student information systems and HR systems.
- Familiarity with Washington State employment and compliance requirements.
- Experience supporting accreditation or organizational improvement initiatives.
Physical Requirements
- Ability to sit, stand, walk, bend, and lift up to 25 pounds.
- Ability to work both indoors and outdoors during school events and activities.
- Ability to use standard office equipment, including computers, printers, and telephones.
