Client Services & Operations Coordinator

About the Role
We’re looking for a reliable, bilingual coordinator who will be the daytime face of our office and the key link between clients, our AI systems, and our specialists.
In this role, you will support three different businesses from one central office:
- An immigration law firm
- A tax preparation business
- A transactional law firm
You’ll handle client communication, organize documents, keep records accurate, and help everything run smoothly so our attorneys, tax preparers, and case managers can focus on their work.
What You’ll Do
Client Experience
- Handle calls and messages escalated from our AI phone system
- Book and confirm appointments
- Manage the shared calendar
Immigration Law Firm Support
- Prepare, send, and track engagement letters and contracts
- Request, collect, and organize client documents and evidence
- Follow up until files are complete
- Keep case management records current and log next steps
- Support the case manager with overflow tasks
- Provide Spanish-English translation during client meetings
Tax Preparation Business Support
- Handle new client intake and document collection
- Read pre-written tax summaries and recommendations to clients in both English and Spanish
- Schedule and coordinate client review meetings
Transactional Law Firm Support
- Complete new-client intake
- Collect documents and process engagement paperwork
Who We’re Looking For
- Fluent in English and Spanish (spoken and written)
- Calm and professional with clients
- Comfortable handling confidential documents and sensitive information
- Highly organized with strong follow-through
- Confident using software and AI tools

- Reliable office coverage and excellent client experience
- Complete and timely document collection
- Accurate records and intake
- Smooth coordination across all three businesses
Growth Opportunity
As we expand, this role can grow into a team-lead or a direct placement with one of the three client businesses.
Pay: $19.00 - $24.00 per hour
