Coulson Aviation is looking for a highly organized and driven Flight Operations Administrative Assistant to help keep our flight operations running safely, efficiently, and by the book. This on‑site role is based in Thermal, California and sits at the center of everything—connecting flight crews, leadership, maintenance, training, and safety. If you excel in fast‑paced aviation environments and enjoy being the go‑to person who keeps operations moving, this role is for you.
What You’ll Do

Serve as a key administrative partner to Flight Operations leadership and Chief Pilots

Manage calendars, schedules, meetings, minutes, and follow-up actions

Coordinate travel and local logistics, including hotels and vehicle arrangements in the Thermal and Palm Springs area

Maintain accurate records, reports, and documentation for flight operations activities

Track training requirements, equipment records, and compliance documentation across electronic and paper systems

Support document control, procurement activities, airport badging, billing coordination, and basic bookkeeping functions

Act as a professional point of contact for internal teams and external partners

Assist with special projects and operational initiatives as business needs evolve

Adapt to changing priorities and provide administrative support across multiple areas of the operation
What You Bring

High school diploma or equivalent required; post-secondary education preferred

Two or more years of administrative, office support, or coordinator experience

Exceptional organizational and time-management skills with the ability to manage multiple priorities

A positive, adaptable mindset with a willingness to learn and take on new responsibilities

Strong interpersonal and communication skills

Professionalism, discretion, and attention to detail

Proficiency with Microsoft Office applications and Adobe Acrobat
