Substitute Secretaries play a pivotal role in providing essential administrative support to ensure the efficient operation of the school building. This position involves managing office tasks and facilitating communication to promote a positive, productive and organized learning environment.
Location varies based on need.
Pay: $18.16/hour
Key Responsibilities:
1. Administrative Support:

Greet students, visitors, parents, staff and other substitutes in a friendly and professional manner.

Manage incoming and outgoing communications, including internal and external phone calls.

Schedule appointments, meetings, and conferences as directed by school administrators.
2. Student and Parent Support:
-
Provide assistance to parents and students by addressing inquiries and directing them to appropriate resources.

Assist in the distribution of important school-related information and forms to students and parents.
3. Records Management:

As needed, prepare and update visitor logs.

As needed, prepare and update attendance reports.
4. Takes precautions to protect student and staff safety.

Helps supervisors manage risks.

Maintains high standards for appropriate conduct.

Takes action to address harassment and/or aggressive behavior. (Notifies administrator accordingly)

Follows safety procedures.
5. Confidentiality:

Handle sensitive information with the utmost discretion and adhere to student and data privacy regulations.
Qualifications:
-
High school diploma or equivalent; additional education or training in office administration is a plus.

Proven experience in an administrative or secretarial role, preferably in an educational setting.

Proficiency in office software applications and Google suite, including word processing, spreadsheet, and email programs.

Excellent organizational and multitasking abilities.

Strong interpersonal and communication skills

Attention to detail and a commitment to maintaining accuracy in record-keeping.

Ability to work collaboratively with students, staff, parents, and the community.

Flexibility and adaptability to work in a variety of situations.
