Role Overview
The Doctor’s Channel, part of Uniphar’s US division, is looking for a sharp, ambitious Business Associate to become the operational engine behind our commercial team. This is a high-exposure, high-ownership role — meaning your work is visible to leadership from day one and your scope will grow as fast as you do. You will sit at the center of how deals get papered, pitched, and delivered: drafting and revising client contracts, building the sales aids and PowerPoint presentations our team takes to market, creating Excel and digital RFP templates that make our proposals faster and sharper, and keeping client requests moving through the right hands at the right time. We are looking for someone who is genuinely tech-savvy and fluent with AI tools — not as a novelty, but as a daily lever to produce better work in less time. If you are a self-starter who learns quickly, sweats the details, and wants a seat close to the business rather than a narrow lane, this role is built for you.
Key Responsibilities
- Contracts: Draft, revise, and version client contracts, insertion orders, statements of work, amendments, and NDAs from approved templates; track redlines across rounds and maintain a clean, current contract repository.
- Contract review support: Compare incoming client paperwork against our standard terms, flag non-standard or missing language, propose approved fallback wording, and escalate anything material to the Senior Manager, Managing Director, or Legal.
- RFP response: Build and maintain Excel-based RFP templates, pricing grids, and digital RFP response templates for clients; assemble, format, and quality-check responses against submission requirements and deadlines.
- Sales aids & presentations: Produce and update PowerPoint decks, one-sheets, capabilities materials, case studies, and other sales aids — ensuring accuracy, brand consistency, and a polished, client-ready finish.
- Client service & routing: Serve as an organized first point of contact for inbound client requests; triage and route them to the right internal owner, track status to resolution, and follow up so nothing slips.
- Sales & campaign support: Support the commercial team across the deal lifecycle — preparing materials for client meetings, capturing notes and next steps, and coordinating handoffs between sales, client success, and production.
- Data & reporting: Maintain trackers, pipeline reports, and campaign summaries in Excel; keep CRM and internal records accurate and current.
- AI & process improvement: Use AI tools responsibly to accelerate drafting, formatting, research, and summarization; identify manual processes ripe for templating or automation and propose improvements.
- Cross-functional coordination: Partner with client success, sales, production, and finance to keep projects, approvals, and billing information moving on schedule.
Key Outcomes
- Contracts and client paperwork are drafted, revised, and turned around accurately and on time, with clean version control and no avoidable delays to signature.
- RFP and proposal responses are submitted complete, on-format, and ahead of deadline, supported by reusable templates that shorten turnaround with each cycle.
- Sales aids and presentations are consistently accurate, on-brand, and client-ready with minimal rework required by senior team members.
- Inbound client requests are acknowledged quickly, routed correctly, and tracked to closure — measurably reducing follow-up chasing.
- Internal trackers, records, and reporting are reliably accurate and trusted as a single source of truth.
- Within the first year, the role has taken meaningful, recurring work off the plates of senior team members and introduced at least one durable process or template improvement.
Skills & Experience
- Bachelor’s degree, or equivalent practical experience.
- 0–4 years of experience in a business, sales support, client service, operations, marketing, or administrative role — including internship experience. Strong recent graduates are encouraged to apply.
- Advanced proficiency across the Microsoft Office suite — Word (formatting, redlining, track changes), Excel (formulas, pivot tables, templates, data cleanup), and PowerPoint (building and polishing client-facing decks).
- Demonstrated comfort using AI tools (e.g., Microsoft Copilot, ChatGPT, or similar) to draft, summarize, format, and accelerate everyday work, with sound judgment about checking outputs.
- Genuinely tech-savvy: picks up new software and platforms quickly with minimal hand-holding.
- Excellent written and verbal communication skills, with a high standard for grammar, formatting, and professional polish in client-facing materials.
- Exceptional attention to detail and accuracy, particularly when handling contract language, pricing, and deadlines.
- Strong organizational and time-management skills, with proven ability to juggle multiple concurrent requests and competing deadlines.
- A true self-starter — takes ownership, anticipates needs, asks good questions, and follows through without being chased.
- Sound judgment and discretion when handling confidential contract, client, and commercial information.
- Ability to work effectively in a fully remote environment while staying visible, responsive, and connected to a small team.
Preferred
- Experience supporting contracts, proposals, or RFP responses in a commercial, agency, or professional services setting.
- Exposure to the pharmaceutical, healthcare, medical communications, or digital media industries.
- Familiarity with CRM platforms (e.g., Salesforce, HubSpot) and e-signature tools (e.g., DocuSign, Adobe Sign).
- Working knowledge of Adobe Creative Suite (InDesign, Photoshop, Illustrator) or Canva for light design work on sales aids.
- Experience building digital or interactive proposal and RFP templates.
- Familiarity with project management tools (e.g., Asana, Monday.com, Smartsheet, Trello).
- Advanced Excel skills (lookups, conditional logic, dashboarding) or experience with Power BI.
- Coursework or certification in business, marketing, communications, contract administration, or paralegal studies.
