Primary Responsibilities
- Control overall office management including but not limited to:
- Email, server and phone system
- Greeting all office visitors and assessing their needs
- New user set up, liaison with 3rd party IT/IS providers
- Mail distribution including FedEx and UPS
- Ordering office and break room supplies
- Maintaining accurate Outlook contacts
- Requesting and tracking courier services
- Organization of company equipment and supplies
- Lead file and document organizational strategy and implementation
- Act as the main contact to coordinate all aspects of special events including but not limited to:
- Rental equipment
- Food/catering
- Invitation lists
- Mailings/e-mails
- Supplies
- Staffing
- Assist on work assignments among Construction and Development Team members
- Provide administrative support to all office personnel as needed
- Assist in obtaining information needed to ensure complete State licensure and compliance
- Assist with accounting functions including, but not limited to data entry of invoices and receipts
- Models and consistently exhibits a high level of customer service to subcontractors, vendors and suppliers
- Strong work ethic and ability to work in a fast-paced environment
- Maintain positive working relationships with all team members across the company
- Must possess excellent data entry skills with a high degree of accuracy
- Must have excellent oral communication skills and the ability to answer a multiple line phone system
Skills and Education
- Minimum of an Associate’s Degree (or related technical degree) required. Bachelor’s Degree is a plus
- 5+ years’ experience with preference for candidates that specifically have worked in the construction or real estate development field
- Strong professional written and verbal communications skills
- Proficiency in MS Office suite of software including Word, Excel, Outlook, and Adobe Pro
- Familiarity with Computer Ease, Dropbox, Smartsheet, Bluebeam, Microsoft Project, Procore, and SharePoint preferred but not required
- Ability to learn how to navigate new software and online programs quickly and easily
- Enjoyment working as a team, and helping others complete tasks as needed
- Ability to interact professionally and productively with outside consultants and vendors
- Ability to complete tasks quickly and meet deadlines
- Contributes to the team effort by accomplishing and expediting results
- Maintains professional and technical knowledge by attending educational workshops for professional development
- Knowledge of construction and real estate development terminology preferred
Working Environment
Work is based in company headquarters St. Louis (Normandy, Missouri - North St. Louis County)
Pay: $20.00 - $25.00 per hour
