Responsibilities
- Greet customers warmly upon arrival and direct them to the appropriate department or team member
- Manage multi-line phone systems to handle incoming calls efficiently, providing accurate information or routing calls as needed
- Maintain an organized front desk area, including filing, data entry, and updating records with precision
- Schedule appointments and manage calendar appointments for service advisors and management using tools like Google Workspace or Microsoft Office
- Assist with clerical tasks such as proofreading documents, preparing reports, and managing correspondence
- Support office management duties including inventory tracking, ordering supplies, and maintaining cleanliness of the reception area
- Provide exceptional customer support by addressing inquiries promptly and professionally while demonstrating excellent phone etiquette
Requirements
- Proven experience in front desk or office management roles within an automotive dealership or similar environment
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software like QuickBooks or similar bookkeeping tools
- Excellent organizational skills with the ability to multitask efficiently in a busy setting
- Bilingual abilities are highly desirable to serve diverse customer needs effectively
- Exceptional customer service skills with a friendly demeanor and professional phone etiquette
- Previous clerical experience including filing, proofreading, and administrative support tasks
- Ability to manage time effectively and prioritize responsibilities to ensure smooth daily operations
- Personal assistant or calendar management experience is a plus for supporting management schedules
