Private Dermatology Practice
We are seeking a highly organized, capable professional to join our team in a full-time, in-office hybrid role combining front desk responsibilities with administrative and operational support.
This is not a basic receptionist position. We are looking for someone who is strong with systems, communication, spreadsheets, calendar and email management and follow-through, and who can contribute both at the front desk and behind the scenes to keep the practice running efficiently.
Position Overview
- Full front desk coverage during patient hours (check-in/out, phones, scheduling)
- Administrative support during designated non-clinical time (organization, follow-up, coordination)
You will work closely with leadership and play a key role in both patient experience and daily operations.
Key Responsibilities
- Manage patient check-in/out, scheduling, and incoming calls
- Verify insurance and communicate patient financial responsibility
- Maintain organization of EMR, patient communications, and intake processes
- Collect payments and ensure accurate front-end financial workflows
- Monitor and organize emails, messages, and follow-up items
- Assist with tracking tasks, deadlines, and operational priorities
- Project Management
- Support office organization, vendor coordination, and basic inventory
- Assist with product recommendations and patient communication
Qualifications
- 2–4+ years of front desk medical reception (dermatology preferred)
- Strong knowledge of front desk workflows, scheduling, and insurance basics
- 2-4 years of vreifying insurance benefits
- Highly organized with strong attention to detail
- Experience managing calendars and emails as a support staff to others
- Excellent communication and professionalism
Technical Skills Required:
- Proficient in Microsoft Excel and Word
- Comfortable using EMR systems
- Experience or comfort with AI tools (such as Otter or similar platforms)
- Calendar management
- Strong general computer and systems skills
What Sets You Apart
- Must be highly organized and able to manage multiple priorities without constant direction
- Strong follow-through required—tasks should be completed and tracked without reminders
- Comfortable working with systems, improving workflows, and keeping processes organized
- Must be comfortable using technology, including Excel, Word, and AI-based tools
- Able to stay calm, professional, and efficient in a fast-paced environment
- This position is best suited for someone with prior experience in a structured medical or administrative setting
This position offers the opportunity to grow into a broader administrative or operational role over time.
We offer a supportive, team-oriented environment, paid time off, free parking, and cosmetic perks.
