Position Summary
The Floor Manager is the operational leader primarily responsible for managing the direct-care staff and owning the staff schedule. This role builds and posts schedules two weeks in advance, responds to call-offs and coverage gaps in real time, and leads shift execution so that resident care is consistent, dignified, and reliably delivered. The Floor Manager partners with the Client Success Manager to ensure the facility is covered 24/7 through a rotating leadership schedule. When on duty, the Floor Manager functions as the acting building leader for staffing and shift command decisions.
Coverage & Scheduling Expectations (Shared 24/7 Leadership)
- The Floor Manager and Client Success Manager share responsibility for management coverage 24/7 through rotating schedules.
- The Floor Manager owns the master staff schedule and posts it a minimum of two weeks in advance.
- Weekend leadership coverage is rotated on/off with the Client Success Manager.
- During assigned coverage blocks, the Floor Manager is responsible for shift command, staff direction, resident oversight, and escalation.
- The Floor Manager is the primary point of contact for real-time staffing decisions (call-offs, no-shows, coverage swaps) at any hour.
- The shared coverage model exists to ensure one manager is not overloaded and the home remains stable.
Core Responsibilities
1) Staff Scheduling & Coverage Ownership
- Build and post the direct-care schedule at least two weeks in advance.
- Manage shift swaps, and time-off approvals within budget and coverage rules.
- Respond to call-offs and no-shows in real time: source coverage first from the on-call/backup roster, then floaters, then leadership.
- Minimize overtime while maintaining full coverage; escalate structural overtime patterns to the Client Success Manager.
- Maintain and update the on-call/backup roster monthly.
- Track attendance, tardiness, and reliability trends per employee; report patterns to the Client Success Manager.
2) Shift Execution & Staff Direction
- Lead assigned shifts with clear task delegation and follow-through.
- Run shift huddles: assignments, resident priorities, safety reminders, and expectations.
- Ensure staff complete rounds, ADLs, meals, engagement, housekeeping tasks, and documentation.
- Maintain a calm, organized, respectful environment for residents and staff.
3) Staff Performance, Coaching & Reliability Culture
- Coach direct-care staff in real time using respectful, direct feedback.
- Reinforce attendance expectations and early communication standards (no surprises).
- Document performance concerns and escalate to the Client Success Manager for corrective action.
- Address conflicts and de-escalate team friction professionally.
- Build a strong reliability culture: consistent standards, no favoritism, clear follow-through.
4) Onboarding & Training Support
- Assign new-hire mentors and shadowing plans; own first-week schedule.
- Assist the Client Success Manager with leading staff training (if training will be on the weekend, on-duty Floor Manager or Client Success Manager will provide training).
- Reinforce onboarding standards during first 30 days: rounds cadence, documentation quality, communication expectations.
5) Resident Care Oversight (Shift-Level)
- Ensure residents receive care aligned with their needs, preferences, routines, and dignity.
- Perform routine rounds to verify comfort, safety, hygiene, hydration, and engagement.
- Identify changes in condition and escalate promptly to the Client Success Manager.
- Support behavior management with redirection, routine, and de-escalation strategies.
6) Documentation & Compliance Support
- Ensure shift documentation and logs are accurate and completed on time.
- Support daily readiness through checklists/audits (environment, documentation quality, safety).
- Identify gaps early (late charting, missed rounds, incomplete tasks) and correct in real time.
7) Medication Process Support
- Reinforce medication security and documentation standards.
- Support staff adherence to eMAR routines (as applicable) and escalation for discrepancies.
- Ensure staff do not chart inaccurately or outside what they actually did.
- Ensure new medications are promptly updated on EMAR.
- Order refills 5 days in advance to ensure no lapse in medication administration.
- Weekly Wednesday medication audits with Client Success Manager (split 1 cart for Client Success Manager review and 1 cart for Floor Manager review to ensure efficiency).
- End of Month medication audit for the next month to ensure no gaps in transition from month to month.
8) Incident Response & Follow-Through
- Respond to incidents using the facility process: stabilize → notify → document → follow up.
- Ensure immediate needs are addressed and the environment is safe after incidents.
- Report incidents promptly to the Client Success Manager/Administrator per your chain of command and complete Incident Reports for the Client Success Manager to review and submit.
9) Leadership Partnership & Shared Accountability
- Maintain shared tools: manager log, handoff notes, shift summaries, incident trackers, checklists.
- Communicate clearly to the Client Success Manager at handoff so nothing is missed.
- Take ownership of delegated areas (examples: supply checks, training tracking, audit logs, engagement schedule support) so leadership responsibilities remain balanced.
Behaviors That Will Lead to Write-Ups
- Not posting staff schedules two weeks in advance.
- Not submitting medication refills to the pharmacy 5 days before medication is empty.
- Not following facility procedures (care protocols, safety rules).
- Improper documentation or failure to chart.
- Violating HIPAA/confidentiality.
- Repeated mistakes after coaching.
- Not completing assigned duties (Monthly Manager Checklist).
- Disrespectful attitude toward residents, families or coworkers.
- Not following safety protocols (falls, transfers, infection control).
- Ignoring supervisor instructions.

Qualifications
Required:
- High school diploma/GED
- 1–2+ years senior care experience (AFC/AL/MC/group home or similar)
- Prior scheduling or coverage-management experience (strongly preferred)
- Lead/mentor experience preferred (or strong demonstrated leadership)
- Ability to pass required background checks and meet facility requirements
- Ability to work rotating weekends and flexible coverage schedule
Preferred:
- Michigan AFC or licensed residential care experience
- Dementia care and behavior support training
- Experience with audits, incident reporting, and staff coaching
- Familiarity with scheduling software (When I Work, Deputy, Sling, or similar)
Pay: $17.00 - $20.00 per hour
