We're looking for a highly organized, proactive Executive Operations Assistant to become the right-hand support for a growing, high-performing life insurance agency leadership team.
This isn't just an administrative role. We're looking for someone who enjoys solving problems, thrives in a fast-paced environment, and can confidently jump into whatever needs attention - from supporting clients and managing licensing tasks to coordinating calendars and handling executive logistics.
Every day looks a little different, so we're looking for someone who is adaptable, resourceful, and takes ownership without needing constant direction.
What You'll Be Doing
Executive Support
- Manage complex calendars, appointments, and scheduling
- Coordinate meetings, travel arrangements, and executive logistics
- Manage executive email inboxes, prioritize communications, and ensure important tasks don't slip through the cracks
- Assist with personal scheduling and occasional personal errands
Licensing & Insurance Operations
- Assist with agent licensing and contracting processes
- Track outstanding requirements and follow up to keep applications moving
- Coordinate with carriers, vendors, and internal team members
- Maintain organized records and documentation
Client Experience
- Communicate with clients regarding outstanding paperwork and next steps
- Answer questions and provide exceptional customer service
- Help ensure every client interaction is professional, timely, and organized
Operations & Special Projects
- Support day-to-day business operations
- Create and improve systems and processes
- Handle a variety of personal, operational, and administrative projects
- Step into new responsibilities as the business grows
- Be the person the leadership team can rely on to keep things moving

Position Details
- $20-25/hour DOE
- 1099 Contractor
- Part-time initially, with the expectation of growing into a full-time role
- Primarily based in our Tampa office (33607)
- Typical business hours are Monday–Friday, 9:00 AM–5:00 PM
- While this is an in-office position, there may occasionally be opportunities to work remotely depending on business needs and the executive team's schedule.
