Job Description:
To serve as the first point of contact for the business, ensuring smooth daily operations at the front desk and providing administrative and operational support to the Office/Operations Manager. This role manages customer communication, routine purchasing, inventory tracking, and daily workflow organization to ensure that both the front office and shop floor run efficiently.
Key Responsibilities:
Daily Operations & Administration:
● Customer Communication: Answer incoming phone calls, greet walk-in visitors, and
serve as the primary point of contact for routine customer inquiries.
● Workload Preparation: Assist the Office Manager in reviewing the day’s workload and
organizing job files for the shop team.
● Order Fulfillment: Assist with walk-in or immediate-need orders that are fulfilled while
the customer waits.
● Quality Control Support: Assist in gathering completed work and necessary paperwork
to prepare for the Office Manager’s final quality control check.
Sales & Customer Relations:
● Project Updates: Relay basic project status updates to clients, ensuring clear
communication and maintaining supply continuity.
● Event Coordination: Assist in preparing promotional materials and logistical support for
networking events
Procurement & Inventory Management:
● Inventory Monitoring: Conduct weekly inventory checks of materials, supplies and
consumables (e.g. gas, wire, abrasives).
● Purchase Orders: Draft and process routine purchase orders for office and shop supplies
under the guidance of the Office Manager.
● Receiving & Verification: Verify incoming material deliveries against packing slips and
purchase orders, and update inventory records.
Safety & Compliance Support:
● Record Keeping: Organize and maintain digital and physical files for safety training
sessions and hazard inspections.
● Station Supplies: Ensure first aid kits and shop safety stations remain fully stocked and
up to date.
Digital Infrastructure & Social Media:
● Asset Gathering: Take and organize photos/videos of completed and in-progress work,
placing them in the company’s shared digital folder.
● Content Management: Draft weekly social media posts and assist in updating the
company’s LinkedIn profile under the direction of the Office Manager.
Pay: From $20.00 per hour
