Position Summary
The Proposal Assistant supports the development and submission of compliant, and compelling proposals, qualifications, and interview materials for heavy civil construction pursuits by assisting with document preparation, gathering and organizing information, maintaining proposal resources, and supporting proposal-related research and production activities. Working under the guidance of proposal team members, this role collaborates with business development, estimating, operations, and other subject-matter experts while developing foundational knowledge of Traylor’s business, the heavy civil construction industry, and the proposal development process.
Key Tasks and Responsibilities
- Assist with reviewing RFQs, RFPs, and bid documents to identify basic requirements, forms, deadlines, and submission instructions.
- Complete assigned proposal tasks within established schedules and communicate progress, questions, or potential delays to proposal team members.
- Gather project descriptions, resumes, photographs, and other information requested by proposal team members.
- Perform routine quality-control reviews for spelling, grammar, formatting, consistency, completeness, and adherence to company standards.
- Maintain and update proposal databases, project information, resumes, boilerplate content, and supporting resources to ensure information remains current and organized.
- Support pursuit interviews by assisting with presentation materials, meeting preparation, rehearsals, and logistics.
- Manage assigned tasks, prioritize routine responsibilities, and meet established deadlines.
- Collaborate effectively with internal teams, seek guidance when appropriate, and incorporate feedback into assigned work.
- Develop knowledge of Traylor’s projects, capabilities, markets, clients, and proposal processes.
- Perform additional duties as assigned.
- Travel may be required for meetings, site visits, training, and company events.

- Adobe Acrobat experience preferred; familiarity with InDesign or other Adobe Creative Cloud tools is a plus.
- Proficiency in graphic design is preferred but not required.
Education/Experience
- Bachelor’s Degree in Marketing, English, Business, Communications, or related field.
- Up to three years of experience in the heavy civil construction or engineering industry is preferred but not required
Physical Demands

- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
- Must be able to lift and carry up to 20 lbs.
- Must be able to talk, listen, and speak clearly on the telephone.
- Requires sedentary work that involves walking or standing some of the time and routine keyboard operations.
