Position Overview
The Leasing Administrative Assistant provides administrative and operational support to the Leasing team while helping deliver an exceptional experience for prospective and current residents. This role serves as a key resource for leasing operations by supporting prospect communications, leasing administration, customer service, scheduling, and day-to-day office operations. The role also assists with lease administration and renewal activities.
Working closely with the Leasing Manager, Leasing Agents, and Property Management team, the Leasing Administrative Assistant helps ensure leasing operations run efficiently by maintaining accurate records, coordinating documentation, supporting prospect inquiries, and assisting with resident communication throughout the leasing lifecycle.
The ideal candidate is highly organized, detail-oriented, customer-focused, and enjoys working in a fast-paced environment where no two days are the same.
Key Responsibilities
Administrative Support
- Provide administrative support to the Leasing Manager and Leasing Agents
- Proactively support Leasing Agents by assisting with administrative tasks that improve responsiveness and allow the team to focus on leasing activities.
- Answer incoming telephone calls and direct inquiries to the appropriate team members
- Greet prospective residents, current residents, vendors, and visitors in a professional and welcoming manner
- Schedule appointments, property tours, and meetings as needed
- Maintain office organization, supplies, and general administrative functions
- Assist with preparing reports, correspondence, and leasing-related documentation
Prospect & Resident Support
- Respond to prospect inquiries regarding community information, apartment availability, pricing, and amenities
- Coordinate and confirm scheduled property tours to help maximize tour attendance and conversion.
- Assist in pre-qualifying prospective residents before referring them to a Leasing Agent
- Provide exceptional customer service throughout the leasing process
- Assist residents with general leasing-related questions and direct maintenance or property concerns to the appropriate department
- Support move-in preparation and resident onboarding activities
Leasing Operations
- Assist with maintaining accurate prospect traffic and leasing activity records
- Serve as a key support resource for lead management by monitoring inbound inquiries, assisting with prospect follow-up, tour confirmations, and ensuring timely responses to prospective residents.
- Coordinate marketing materials and leasing collateral
- Ensure leasing office, reception area, and marketing displays remain organized and professional
- Assist with resident events, outreach initiatives, and community marketing efforts
Lease Administration & Renewals
- Support the lease renewal process by preparing documentation, tracking renewal activity, assisting with resident communication, and coordinating with the centralized renewal administration team.
- Assist in preparation of lease agreements, addendums, notices, and other leasing-related documentation
- Maintain accurate resident and prospect files in accordance with company policies and regulatory requirements
- Monitor lease expiration dates and assist with renewal follow-up efforts
- Ensure leasing documentation is complete, accurate, and properly maintained
Cross-Functional Collaboration
- Partner closely with Leasing, Property Management, and Maintenance teams to support daily operations
- Assist with communication between departments regarding move-ins, lease documentation, and apartment readiness
- Support occupancy and resident retention initiatives through timely administrative support
- Promote a positive, team-oriented work environment
Additional Duties
- Perform other job-related duties as assigned by management based on business needs.
Qualifications
- High school diploma or equivalent required; Associate's degree preferred
- Minimum 1–2 years of administrative, customer service, leasing, hospitality, or office support experience preferred
- Previous multifamily or property management experience preferred
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Outstanding customer service and interpersonal skills
- Excellent verbal and written communication abilities
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with Yardi, RentCafe, or property management software preferred
- Ability to maintain confidentiality and handle sensitive information professionally
Work Schedule & Availability
- Saturday - Wednesday, standard business hours
- Ability to work evenings, weekends, and community events as business needs require
- Availability to support leasing initiatives and operational priorities during peak leasing periods
