Duties:
You will be working with Accounting Manager to invoice jobs, review for accuracy, follow up to make sure jobs were completed, perform day to day processing of vendor invoices.
The ideal candidate must be primarily an excellent communicator and able to remain calm and composed, especially when there are a lot of invoices to create. You must be able to multi-task as well as take the appropriate action with when talking to our clients.
Responsibilities
- Receive work orders, quotes and then convert to invoices.
- Take work orders and confirm accuracy
- Receive communication from incoming calls. These calls will be from Clients, Potential clients and Suppliers
- Confirm all client information.
- Monitor the route and status of field units to coordinate and prioritize their schedule.
- Enter data in computer system and maintain logs and records of calls, activities and other information.
- Fill in notes for techs if asked to.
- Prioritize calls according to urgency and importance.
- Use GPS, Job Cards, Notes, Quotes to create invoices.
- Issue Purchase Order Numbers for Supplies as required.
- Good understanding of Computers. (Quick Books (Mandatory) excel, word, email, and quick learn on other types of software).
Requirements for this Position:
1: Able to be organized
2: Able to work with technicians and or construction staff (You must be able to get work done and achieve completion of the job and notes from the Technicians with in the time allowed)
3: Work with QuickBooks
4:Work with Word, Excel and other applications.
5: Able to handle others management styles
6: Able to solve problems.
MUST HAVES FOR DISPATCH:
1: Good personality that can work with others
2: Problem Solving abilities
3: Experience with Construction Staff or office staff is a plus.
4: Speak English and ability to speak clearly on phone .
5: Speak Spanish is not required but comes in handy.
Job Type: Part-time
Potential Full Time based on Performance after 90 days.
Pay: $18.00 - $27.00 per hour
