About Nationwide Legal
Nationwide Legal, LLC provides litigation support and legal support services to law firms, corporations, and government agencies. Our services include process service, court filing, e-filing, records retrieval, court reporting, investigations, messenger services, and other services supporting the legal industry.
We are seeking a dependable and detail-oriented employee to join our Sacramento office as a Court and Process Services Support Specialist.
About the Position
This is a cross-functional floater position that will provide operational support to both our Court Services and Process Service departments.
Because the Sacramento office operates with a smaller team, the employee must be comfortable shifting between departments and assignments based on daily workload, deadlines, staffing needs, and client priorities. The successful candidate will be cross-trained in both departments and will help ensure that assignments are entered, processed, monitored, and completed accurately and on time.
This position is well suited for someone who is adaptable, organized, comfortable managing multiple deadlines, and willing to assist wherever operational support is most needed.
Primary Responsibilities
Responsibilities may vary from day to day and will include support for both Court Services and Process Service operations.
Court Services Support
- Receive and review court filing, e-filing, court research, and related service requests.
- Confirm that filing instructions, court information, deadlines, and supporting documents are complete.
- Enter new assignments and update existing assignments in the company’s job management systems.
- Prepare, organize, scan, upload, and route documents for filing or delivery.
- Monitor filing deadlines, court dates, rejection notices, conformed copies, and completion status.
- Coordinate with court runners, vendors, internal departments, and other operational personnel.
- Communicate with clients regarding missing information, filing requirements, status updates, rejections, and completed assignments.
- Review returned court documents for administrative completeness and route them to the appropriate client or department.
Process Service Support
- Receive and review process service requests, service instructions, documents, party information, and service deadlines.
- Enter and update process service assignments in the company’s job management systems.
- Assist with coordinating and dispatching assignments to process servers and vendors.
- Monitor service attempts, deadlines, due dates, special instructions, and assignment status.
- Follow up with process servers and vendors to obtain timely status reports and completed documentation.
- Communicate with clients regarding service attempts, address issues, additional instructions, and assignment status.
- Review proofs, declarations, affidavits, and other returned documents for administrative completeness.
- Upload, organize, and route completed documents and status information to the appropriate client or internal department.
General Operational Support
- Move between the Court Services and Process Service departments based on daily business needs.
- Respond to client and internal emails and telephone calls in a professional and timely manner.
- Maintain accurate electronic records, notes, documents, and assignment histories.
- Scan, copy, file, prepare, and organize legal documents.
- Assist with incoming and outgoing mail, packages, and document deliveries.
- Provide coverage for team members during absences, breaks, and periods of increased volume.
- Assist with special projects and other office or operational duties as assigned.
- Protect confidential client, case, employee, and company information.
Qualifications
- Prior experience in legal support services, process service, court filing, litigation support, a law office, or a professional office environment is preferred.
- Strong organizational skills and close attention to detail.
- Ability to manage multiple assignments, deadlines, and shifting priorities.
- Ability to move between departments and learn different operational processes.
- Strong written and verbal communication skills.
- Professional and courteous when communicating with clients, vendors, process servers, and coworkers.
- Comfortable performing detailed data entry and working in multiple computer systems.
- Proficiency with Microsoft Outlook, Word, and general office technology.
- Ability to follow written instructions, identify missing information, and escalate questions appropriately.
- Dependable, punctual, and able to work effectively both independently and as part of a small office team.
- Familiarity with California courts or process service procedures is a plus, but is not required.
What We Are Looking For
The ideal candidate is flexible, reliable, and willing to support whichever department has the greatest operational need. This is not a position with the same narrow set of duties every day. Priorities may change throughout the day based on court deadlines, service deadlines, incoming assignments, and staffing coverage.

Classification: Hourly, non-exempt
Pay: $20.00 - $22.00 per hour
