POSITION SUMMARY:
The Receptionist provides clerical support for the Transit Workers Union Local 100 - New York City Transit - Training and Upgrading Fund and Child Care Fund. The role exists to promote ongoing member and staff communication and maintain reception areas for Funds. CANDIDATE MUST HAVE A MINIMUM OF THREE (3) YEARS OF EXPERIENCE PROVIDING RECEPTION COVERAGE IN A PROFESSIONAL OFFICE ENVIRONMENT.
GENERAL RESPONSIBILITIES:
- Welcome visitors to the Funds and direct to available staff in person or via phone
- Answer and transfer calls to staff, forward calls to voicemail, and receive and share messages for staff
- Email Fund Directors when staff calls late, sick, or in case of emergency
- Answer member questions on programs of Funds and update member database information
- Assist Training and Upgrading Fund with printing attendance sheets and member course sign-in
- Perform clerical duties including receiving and sorting mail, photocopying, and faxing
- Maintain safe and clean reception area including coffee preparation and replenishment of kitchen items
- Provide reception desk coverage for scheduled evening courses for Training and Upgrading Fund
- Assist staff members of the Funds on other necessary or time-sensitive duties
- Act as a digital focal point for a designated program to the digital team.
QUALIFICATIONS:
- High School Diploma and three years of related work experience
- Advanced experience with switchboard and telecommunications system
- Strong communication skills and positive customer service attitude
- Moderate proficiency in Microsoft Office and prior experience with a member database system
- Ability to maintain the confidentiality of financial and member information
PHYSICAL REQUIREMENTS:
The physical environment requires the employee to work primarily inside an office setting. May occasionally be requested to work overtime and weekends for scheduled or special program events.
ADDITIONAL INFORMATION:
The position may require light lifting when assisting staff members during classroom set-up including books, computers, and moving of furniture. The physical requirements for the daily administrative responsibilities of the position are considered normal and standard in an office setting (i.e. printing, typing, answering phones, etc.).
SALARY INFORMATION: The current minimum salary for Receptionist is $23 per hour for a 40-hour week. These rates are subject to change.
