Job Description:
YMX Logistics is seeking a detail-oriented and highly organized Part-Time Parts Clerk to support fleet maintenance operations. The role maintains accurate parts and supply inventory, coordinates purchasing and pickups, processes invoices, updates maintenance and inventory systems, and ensures technicians have the materials needed to keep equipment operating safely and efficiently. The ideal candidate is proactive, dependable, comfortable with technology, and committed to inventory accuracy, cost control, and operational excellence.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Inventory Management
• Maintain an organized parts room and clearly identified storage locations.
• Receive, inspect, label, record, and stock incoming parts, supplies, and consumables.
• Monitor inventory levels and help ensure parts availability for planned and unplanned maintenance.
• Establish, review, and maintain appropriate minimum and maximum stocking levels with maintenance leadership.
• Perform scheduled cycle counts and inventory audits; research and correct discrepancies.
• Identify slow-moving, obsolete, excess, damaged, or missing inventory and recommend corrective action.
Parts Procurement and Pickup
• Source and order parts, shop supplies, and consumables from approved vendors.
• Confirm part numbers, pricing, availability, and delivery timing before placing orders.
• Help obtain competitive pricing and identify practical cost-saving opportunities.
• Expedite urgent orders and coordinate local pickup or delivery to reduce equipment downtime.
• Maintain accurate vendor and purchasing information in company systems.
ESSENTIAL DUTIES AND RESPONSIBILITIES, CONTINUED
Invoice and Transaction Processing
• Process vendor invoices and verify pricing, quantities, tax, freight, and receipt of goods.
• Match invoices to purchase orders, packing slips, receipts, and other supporting documentation.
• Investigate discrepancies and coordinate resolution with vendors, maintenance leadership, and Accounts Payable.
• Maintain complete and organized purchasing and invoice records in accordance with company requirements.
Systems and Recordkeeping
• Enter and update parts receipts, issues, returns, transfers, stock adjustments, purchase transactions, and vendor information in company software systems.
• Issue parts to technicians and accurately assign usage to the correct asset, repair order, work order, or cost center.
• Maintain accurate part descriptions, units of measure, pricing, locations, and reorder points.
• Generate inventory, purchasing, usage, and variance reports as requested.
• Protect system accuracy by completing transactions promptly and avoiding unrecorded parts movement.
Operational Support and Safety
• Coordinate with technicians and maintenance leadership to understand upcoming parts requirements.
• Assist with inventory planning, forecasting, physical inventories, warranty returns, and core returns.
• Maintain a clean, orderly, and safe parts room, pickup vehicle, and storage area.
• Follow YMX safety requirements, purchasing controls, and standard work practices.
• Support continuous improvement projects and perform other related duties as assigned.
QUALIFICATIONS
Required
• High school diploma or equivalent.
• At least one year of experience in parts inventory, warehouse operations, fleet maintenance, automotive, trucking, heavy equipment, or a related environment.
• Basic proficiency with Microsoft Outlook and Excel and the ability to learn inventory and fleet maintenance software.
• Strong organization, data-entry accuracy, follow-through, and attention to detail.
• Ability to prioritize work, communicate professionally, and work independently with limited supervision.
• Valid driver’s license and an acceptable driving record for company-related parts pickup.
Preferred
• Experience with a fleet maintenance management system, inventory platform, or purchasing system.
• Knowledge of truck, trailer, terminal tractor, automotive, or heavy-duty equipment parts.
• Experience with cycle counting, min/max inventory controls, purchase orders, invoice matching, warranty returns, and core management.

PHYSICAL AND WORK REQUIREMENTS
• Ability to stand, walk, bend, reach, and move throughout a maintenance shop and parts storage environment.
• Ability to safely lift and move parts and materials weighing up to 50 pounds, with or without reasonable accommodation.
• Ability to drive locally for parts pickup as assigned.
• Ability to work around vehicles, shop equipment, noise, dust, and varying indoor or outdoor temperatures.
• Ability to use a computer, handheld device, barcode scanner, and standard office equipment.
