Trade Management is partnering with an established mechanical contracting company in South Austin to identify a detail-oriented Administrative Assistant to support daily office and project administration.
This is an excellent opportunity for someone with administrative experience who understands the construction environment and is comfortable working with vendors, subcontractors, purchase orders, and project documentation.
The Administrative Assistant will provide day-to-day administrative support to the mechanical contracting operations team. This position will be responsible for maintaining accurate documentation, issuing and tracking purchase orders, monitoring subcontractor compliance, supporting billing activities, and helping keep office and project workflows organized.
A basic understanding of construction lien notices and lien waivers is highly preferred.
Purchase Orders: Generate, track, and distribute purchase orders to suppliers and subcontractors.
Construction Documentation: Prepare, track, and maintain preliminary lien notices, lien waivers, and related project documentation.
Subcontractor Compliance: Track lien waivers, certified payroll, certificates of insurance, and other required vendor/subcontractor documentation.
Administrative Support: Maintain organized files, records, spreadsheets, and project documentation.
Microsoft Office: Utilize Microsoft Word and Excel to create reports, letters, spreadsheets, and other documents.
Daily Correspondence: Answer phone calls, route emails, communicate with vendors and subcontractors, and distribute incoming information.
Billing Support: Assist the accounting team with invoice verification, receipts, and documentation required for billing.
Vendor Coordination: Communicate with suppliers and subcontractors regarding purchase orders, documentation, and outstanding paperwork.
General Office Support: Assist the operations team with administrative tasks and other duties as needed.
1–2 years of administrative experience, preferably within construction, mechanical contracting, subcontracting, or a related industry.
Basic understanding of purchase orders and vendor documentation.
Familiarity with construction lien notices and lien waivers is strongly preferred.
Experience tracking certificates of insurance, certified payroll, or subcontractor compliance documents is a plus.
Proficiency with Microsoft Office, particularly Word and Excel.
Strong organizational skills with excellent attention to detail.
Ability to prioritize multiple tasks and meet deadlines.
Strong written and verbal communication skills.
Professional and dependable when communicating with vendors, subcontractors, clients, and internal teams.
Ability to work independently while supporting a fast-paced construction office.
The ideal candidate is organized, dependable, detail-oriented, and comfortable working in a construction environment. Someone coming from a mechanical contractor, commercial construction company, subcontractor, or construction office with experience handling POs, invoices, vendor paperwork, and project documentation would be especially well suited for this position.
