Overview:
North American University is seeking an experienced Financial Aid Office Coordinator to support and oversee daily Title IV financial aid operations. This leadership role is responsible for ensuring compliance, accuracy, and exceptional service while supporting Financial Aid Advisors and students throughout the financial aid lifecycle. The ideal candidate is detail-oriented, compliance-focused, and student-centered, with strong supervisory experience and deep knowledge of federal financial aid and VA education benefits.
Key Responsibilities:
· Deliver accurate and courteous service to current and prospective students regarding financial aid and student account information.
· Hire, train, supervise, and evaluate the performance of Financial Aid Advisors.
· Support Financial Aid Advisors with responding to email, phone, and in-person inquiries from students and parents regarding application status.
· Assist in the implementation and adherence to all required policies, procedures, and regulations to ensure exceptional financial aid service is provided.
· Supervise and direct the certification of Veterans benefits and maintain regulatory requirements.
· Identify problems and directly contribute to the development and implementation of solutions.
· Ensure that financial aid processes such as R2T4s, disbursements, awarding of aid, verifications, and federal reports are processed accurately and on time.
· Ensure student eligibility is established and maintained before awarding and disbursing financial aid through accurate verification and awarding procedures.
· Prepare and submit timely and accurate financial aid documents and reports as required by internal and external agencies and departments.
· Manage outreach efforts to students and families via web, publications, social media, and in-person presentations.
· Conduct regular audits and eligibility checks of student records and files to maintain accuracy and policy compliance.
· Assist with ensuring the financial aid management system (Jenzabar) is updated and maintained to run effectively in awarding aid, managing reporting needs, and accuracy of student records.
· Assist with the coordination and preparation for audits, program reviews, and compliance surveys.
· Research and analyze processes and practices to ensure compliance with Title IV guidelines for the determination of eligibility, fund management, and reporting of funds.
· Schedule and conduct informational meetings, workshops, and events with current and future students, staff, and community members to promote knowledge and understanding of financial aid resources, policies, and procedures.
· Regularly participate in federal trainings, webinars, and meetings to stay informed of practices, regulations, and laws related to state aid and federal aid.
· Assist with updating and maintaining the policy and procedures manual to ensure compliance and accuracy with state and federal regulations, and alignment with NAU’s mission and goals.
· Perform other duties and special projects as assigned.
Required Qualifications:
· Bachelor’s degree from an accredited institution.
· Minimum of 4 years of progressively responsible experience in financial aid, including award packaging, ISIR verification, SAP, R2T4 processing, disbursement, and federal reporting.
· Minimum of 2 years of supervisory or lead experience.
· Experience administering Veterans Education Benefits, including online certifications.
· Working knowledge of Federal Student Aid systems (COD, NSLDS, FSA Partner Connect, etc.).
· Demonstrated ability to research, interpret, and apply federal Title IV regulations accurately.
· Strong written and verbal communication skills.
· Proven ability to identify issues proactively and implement effective solutions.
· Demonstrated ability to work with diverse student populations and collaborate effectively with staff.
· Strong organizational skills with the ability to manage multiple priorities independently.
· Proficiency in Microsoft Word, Excel, and Outlook.
Preferred Qualifications:
· Experience using Jenzabar.
· VA School Certifying Official (SCO).
· Intermediate Excel skills.
· Experience writing or revising financial aid policies and procedures.
