Our law firm is seeking a professional, organized, and compassionate Legal Receptionist / Client Intake Coordinator to serve as the first point of contact for prospective and current clients. This position plays a vital role in ensuring clients receive exceptional service, timely communication, and a positive experience throughout their representation.
The ideal candidate will possess excellent communication and customer service skills, strong attention to detail, and the ability to handle sensitive and confidential information with professionalism and discretion. Responsibilities include answering and directing telephone calls, conducting new client intake, scheduling consultations and client calls, processing payments, managing incoming mail and correspondence, maintaining client records, and providing administrative support to attorneys and staff.
Because our practice regularly works with incarcerated individuals and their families, the successful candidate must be patient, empathetic, and capable of communicating effectively with clients who may be experiencing stressful or emotionally challenging situations. Prior law firm experience is preferred, but we are willing to train the right candidate who demonstrates strong organizational skills, reliability, professionalism, and a genuine commitment to client service.
Primary Responsibilities
- Answer incoming phone calls and respond to client inquiries.
- Conduct new client intake calls and gather relevant information.
- Schedule attorney consultations and client meetings.
- Maintain communication with current clients regarding case status and scheduling.
- Process and accept client payments.
- Monitor, sort, and distribute incoming mail.
- Review correspondence and identify items requiring attorney attention.
- Maintain accurate client records and contact information.
- Track deadlines for scheduled calls and client follow-ups.
- Coordinate communication between attorneys, clients, and family members.
- Assist with general administrative and office support tasks.
Qualifications
- Excellent verbal and written communication skills.
- Strong customer service experience.
- Ability to remain calm, professional, and compassionate during difficult conversations.
- Highly organized with strong attention to detail.
- Comfortable using email, Microsoft Office, Google Workspace, and case management software.
- Ability to manage multiple priorities and follow through on tasks independently.
- Prior law firm experience preferred but not required.
