Responsibilities
- Manage and coordinate detailed calendars, appointments, and travel arrangements for executives.
- Prepare, proofread, and organize correspondence, reports, presentations, and other documents with precision.
- Handle multi-line phone systems with professionalism, providing excellent customer service and client communication.
- Maintain accurate records through data entry, spreadsheets, and filing systems using productivity software such as Microsoft Office and specialized accounting tools like QuickBooks.
- Oversee office management tasks including supply inventory, front desk duties, and ensuring a welcoming environment for visitors.
- Facilitate effective communication by screening calls, managing email correspondence, and coordinating internal meetings.
- Support personal assistant responsibilities such as organizing personal schedules or errands as needed to enhance executive productivity.
Experience
- Proven experience as an Executive Assistant or in an administrative role supporting senior management in a fast-paced office environment.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with spreadsheets for data management.
- Strong computer literacy including data entry, word processing, proofreading, and technical proficiency with office equipment such as multi-line phone systems.
- Bilingual abilities are highly desirable to support diverse client interactions and internal communications.
- Excellent organizational skills with the ability to prioritize tasks efficiently while managing multiple deadlines.
- Previous experience with office management duties including customer service at the front desk or administrative support roles is preferred.
- Knowledge of QuickBooks or similar accounting software is a plus for handling invoicing or expense tracking.
