Job Overview
We are seeking a highly organized Legal Office Assistant to join our team. In this part-time role, you will be tasked with ensuring smooth operations of office communications, office inventory and client file management.
Responsibilities
- Manage multi-line phone systems, answer inquiries promptly, and direct calls with professionalism and courtesy.
- Handle front desk duties including greeting visitors, managing appointments, and maintaining a welcoming environment.
- Assist with office management tasks such as supply inventory, filing systems, and equipment maintenance.
- Support team members with administrative tasks such as calendar management, scheduling meetings, and coordinating logistics.
- Open client files in our Case Management system.
- File OPRA requests.
- Prepare outgoing mail and courrier messages.
Experience
- Previous clerical or administrative experience in an office setting is preferred.
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel) and familiarity with spreadsheets is essential.
- Bilingual abilities are highly valued to facilitate communication with diverse clients and staff. Spanish or Ukrainian would be highly helpful.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Demonstrated customer service skills combined with professional phone etiquette and phone communication expertise.
- Personal assistant experience or office management background will be advantageous for success in this role.
This is very much a part time role. We do not envision the role growing sigificantly any time soon but, that possibility is not ruled out.
Pay: $20.00 - $25.00 per hour
Work Location: In person
