Position Summary
The Operations & Technology Coordinator manages the school's technology systems, procurement, and inventory, and serves as a member of the Operations Team. This role prepares and maintains staff devices, tracks and reconciles team spending, and troubleshoots technology issues for staff, students, and families. The Operations & Technology Coordinator reports to the Director of Operations & Human Resources and provides coverage across the Operations Team.
Qualifications
● Bachelor's degree preferred
● At least 2 years of school-based operations or IT support experience
● Experience with device management, technology inventory systems, and troubleshooting hardware and software
● Experience with procurement, purchase order processing, and budget reconciliation
● Proficiency in Google Suite, Microsoft Excel and Word, and Bill.com or comparable systems; familiarity with DOE systems (ATS, OASIS, CPS, NYSTL, FAMIS) preferred
Key Responsibilities
Device & Equipment Management
● Manage, track, and maintain an inventory of all school technology assets
● Prepare, distribute, and collect staff and student devices each school year, including summer setup
● Coordinate repairs, replacements, and technical support for all school-owned technology
● Maintain a device loan log and account for all equipment
Technology Systems & Software
● Troubleshoot and resolve daily technology issues for staff and students
● Onboard new staff on school technology and manage identity and access for school systems
● Communicate technology expectations, usage policies, and available resources to staff and families
Ordering, Procurement & Inventory
● Manage the procurement process for school supplies, technology equipment, and operational materials
● Research vendors, obtain quotes, and process purchase orders in accordance with school financial policy
● Maintain an organized inventory of school supplies, technology assets, and operational equipment; conduct regular audits
● Track and reconcile procurement spending against approved budgets and report variances to leadership
● Upload invoices into Bill.com
General Operations Support
● Provide coverage for other Operations Team members, including daily walkthroughs, arrival, and dismissal
● Assist with setup for school events and other operational tasks as assigned
Compensation, Benefits and Hours
● The salary range for this position is $50,000-75,000 and is commensurate with experience and qualifications. Harlem Link is committed to providing our team with a range of benefit offerings at a competitive value. Benefits are provided in accordance with school policy.
● Operations Team members are required to be at the building from 7:30am - 4:00pm four days a week, and from 7:15am - 5:00pm one day each week for professional learning opportunities.
