- Manage and coordinate appointment schedules using advanced office management and productivity software, including Microsoft Office and Google Workspace.
- Handle multi-line phone systems with professionalism, providing excellent customer service and support to clients, vendors, and team members.
- Maintain accurate records through data entry, filing, and spreadsheet management while ensuring all documentation is proofread for accuracy.
- Assist with front desk duties such as greeting visitors, answering inquiries, and managing phone communication with courtesy and efficiency.
- Support calendar management for multiple departments or executives, ensuring timely scheduling of meetings and appointments.
- Utilize technical proficiency in computer literacy tools to streamline office operations, including bookkeeping tasks using QuickBooks when necessary.
- Provide clerical support such as word processing, proofreading documents, managing client communication, and supporting office organization efforts.
Experience
- Prior office management or administrative experience is essential; familiarity with medical or dental receptionist duties is a plus.
- Proven success in handling customer support roles with strong phone etiquette and client communication skills.
- Experience working with spreadsheets, data entry tasks, and productivity software like Microsoft Office or Google Workspace is required.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
