Operations & Administrative Coordinator – Scrap Recycling Industry
Position Summary
We are seeking a detail-oriented and highly organized Operations & Administrative Coordinator to support daily business functions within a fast-paced scrap recycling environment. This role is responsible for inventory tracking and data entry, travel and event coordination, light bookkeeping support, settlement reporting, interdepartmental communication, and customer correspondence.
The ideal candidate is dependable, proactive, and capable of managing multiple priorities while maintaining accuracy and professionalism.
Key Responsibilities
Inventory Entry & Tracking
· Enter and maintain inventory records accurately in company systems
· Monitor incoming and outgoing material documentation
· Track inventory movement and assist with reconciliation of discrepancies
· Maintain organized digital and physical records related to inventory and shipments
· Generate inventory status and activity reports as requested
Travel & Event Scheduling
· Coordinate travel arrangements including flights, hotels, rental vehicles, and itineraries
· Schedule meetings, conferences, customer visits, and industry events
· Maintain calendars and ensure timely communication of schedules and updates
Light Bookkeeping & Administrative Support
· Assist with invoice processing, expense tracking, and payment documentation
· Assist with data entry related to settlements, accounts payable, and receivables
· Support preparation of reports and internal documentation
Settlement Reports
· Prepare and distribute settlement reports accurately and on schedule
· Coordinate with operations and accounting teams to resolve discrepancies
· Maintain records of settlements and supporting paperwork
Interdepartmental Communication
· Serve as a communication link between operations, sales, accounting, logistics, and management
Customer Communication & Notifications
· Communicate professionally with customers regarding shipments, schedules, settlements, and updates
· Provide timely notifications and respond to customer inquiries
· Maintain customer records and communication logs
· Supplier / Consumer contract entry (high level of accuracy required) and transmittal of documents
Qualifications
· Previous administrative, operations, logistics, or recycling/scrap industry experience preferred
· Strong organizational and multitasking abilities
· Excellent written and verbal communication skills
· Proficiency with Microsoft Office Suite (Excel, Outlook, Word)
· Experience with inventory management or accounting software is a plus
· High attention to detail and accuracy
· Ability to work independently and collaboratively in a fast-paced environment
Preferred Skills
· Knowledge of scrap recycling operations, settlements, and logistics
· Basic bookkeeping or accounting experience
· Strong problem-solving and time-management skills
Work Environment
· Office-based role with regular interaction with operations personnel and customers
· May require occasional travel or attendance at industry events
