Job Summary

Duties
- Schedule surgical procedures efficiently by coordinating with surgeons, anesthesiologists, nursing staff, and patients using advanced EMR (Electronic Medical Records) systems such as Epic, Meditech, or Athenahealth.
- Verify patient insurance coverage, including Medicare and other health plans, ensuring all necessary authorizations are obtained prior to surgery.
- Review medical records and documentation for completeness and accuracy, including clinical notes, care plans, CPT (Current Procedural Terminology) codes, ICD-9/ICD-10 codes, and medical billing information.
- Communicate clearly with patients via phone or in person to confirm appointments, provide preoperative instructions, and answer scheduling inquiries while maintaining excellent customer service.
- Maintain meticulous records of all scheduled procedures, cancellations, reschedules, and related documentation in compliance with HIPAA (Health Insurance Portability and Accountability Act) policies.
- Collaborate with clinical teams to ensure all necessary supplies and equipment are prepared for upcoming surgeries.
- Assist with administrative tasks such as filing medical records, managing office correspondence, and supporting front desk operations.
Requirements
- Proven experience in medical scheduling within a clinical or hospital setting; clinic experience preferred.
- Strong knowledge of EMR/EHR systems such as Epic, Meditech, eClinicalWorks or Athenahealth; proficiency in Microsoft Office suite is essential.
- Familiarity with medical coding including CPT codes and ICD-10/ICD-9 coding standards for accurate documentation review.
- Understanding of health insurance processes including Medicare policies and health information management practices.
- Excellent phone etiquette and communication skills; bilingual abilities are a plus to serve diverse patient populations.
- Demonstrated clerical experience with typing (including 10-key), filing, and medical records management.
- Ability to handle sensitive information with discretion while adhering to clinical confidentiality policies.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
