Position Summary
As a Project Coordinator, you are a key contributor to the successful delivery of heavy highway construction projects. You are expected to exemplify the company's values and guiding principles while supporting the mission through organization, communication, and attention to detail. This role provides administrative and operational support to the Project Management and Field Operations teams, helping ensure projects are completed safely, efficiently, on schedule, and within budget.
The Project Coordinator works closely with Project Managers, Superintendents, subcontractors, suppliers, owners, and internal departments to coordinate project activities, maintain documentation, track costs, and support overall project execution.
Role and Responsibilities
- Assist Project Managers with the planning, coordination, and administration of heavy highway construction projects.
- Maintain project documentation, including contracts, subcontracts, purchase orders, permits, change orders, correspondence, and project records.
- Coordinate communication between project owners, subcontractors, suppliers, field personnel, and internal departments.
- Assist with scheduling labor, equipment, materials, and subcontractor activities in collaboration with the operations team.
- Track material deliveries and coordinate testing requirements with suppliers and quality control personnel.
- Support the preparation, submission, and tracking of pay estimates, invoices, and change orders.
- Review project documentation to ensure accurate and timely processing of project-related costs.
- Assist with job cost tracking and reporting by maintaining project records and supporting cost analysis efforts.
- Coordinate project meetings and prepare meeting agendas, minutes, and follow-up action items.
- Monitor project schedules and communicate updates to project stakeholders.
- Assist with procurement activities, including obtaining quotes, coordinating vendor communications, and tracking material orders.
- Maintain accurate project files and ensure documentation is properly organized and accessible.
- Support field operations teams by responding to requests, gathering information, and coordinating resources as needed.
- Work closely with the safety department to ensure project documentation and compliance requirements are maintained.
- Assist with project closeout activities, including collection of final documentation, certifications, and project records.
- Help identify and proactively communicate project risks, scheduling conflicts, and potential issues to the project management team.
- Support continuous improvement initiatives and contribute to a collaborative team environment.
Our Ideal Candidate

- Associate's or Bachelor's degree in Construction Management, Civil Engineering, Business Administration, or a related field preferred.
- 2+ years of experience in construction project coordination, project administration, or heavy highway construction preferred.
- Proficient in Microsoft 365, including Excel, Word, Outlook, and Teams.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- Detail-oriented with strong documentation and recordkeeping abilities.
- Ability to work effectively both independently and as part of a team.
- Strong interpersonal skills and the ability to build positive working relationships with internal teams, subcontractors, suppliers, and project owners.
- Ability to analyze information, solve problems, and adapt to changing project needs.
- Professional demeanor and commitment to providing exceptional support to project stakeholders.

Pay: $55,000.00 - $65,000.00 per year
