Job Summary:
The Office Administrator reports to the Senior Director of Administration and Human Resources and is responsible for ensuring the smooth day-to-day operation of COMPASS’ offices. This position serves as a central point of coordination for office operations, administrative services, and financial administration. The Office Administrator will also support a variety of HR-related functions and may have the opportunity to assume additional HR responsibilities as COMPASS continues to expand. The Office Administrator must understand, respond to, and embrace the cultural and linguistic diversity among COMPASS’ staff, students and clients. The Office Administrator works collaboratively with all departments to support COMPASS’ operations and maintain a professional, organized, and welcoming environment.
Essential Job Functions:
General Responsibilities:
- Perform any duties the Executive Director deems necessary to ensure the safety of COMPASS staff and clients and that the goals of the agency are met.
- Support the daily operations of COMPASS programs and administrative offices.
- Maintain confidentiality regarding client, student, and personnel information.
Office Administration:
- Manage the day-to-day administrative operations of COMPASS offices in Boston, while supporting some operations in Lawrence and Worcester.
- Oversee maintenance and servicing of office equipment and administrative resources.
- Coordinate office supply purchasing and inventory management.
- Maintain organized filing systems and administrative records.
- Manage incoming and outgoing faxes and other administrative communications.
- Collect, sort, and distribute mail and coordinate post office visits as needed.
Financial Administration
- Support COMPASS programs with administrative processes related to expenses, reimbursements, and financial recordkeeping.
- Manage agency vendor documentation and coordinate administrative processes related to invoices, expenditures, and vendor payments, assisting with purchasing as necessary.
- Maintain organized financial and administrative records in accordance with COMPASS procedures.
- Assist with the collection, preparation, and submission of documentation required for financial reporting and audits.
Human Resources Support
- Assist with human resources initiatives, projects, and administrative functions.
- Prepare and distribute employee identification badges and other onboarding materials.
- Coordinate business card orders and employee administrative resources.
- Support recruitment, hiring, and employee recordkeeping processes, as assigned.
- Serve as an administrative resource for leadership and staff regarding employment-related paperwork and procedures.
Qualifications:
- Bachelor's Degree in Business Administration, Human Services, Accounting, Human Resources, or a related field (required)
- Minimum of two years of administrative or office management experience (preferred)
- Experience working in a nonprofit, educational, healthcare, or human services setting (preferred)

Physical Requirements:
- Ability to sit, stand, and move throughout office environments for extended periods of time.
- Ability to lift and transport office supplies and materials weighing up to 25 pounds.
- Able to travel locally to agency locations, the post office, and other business-related destinations as needed.
Pay: $65,000.00 - $70,000.00 per year
