Overview
We are seeking a sharp, highly efficient Executive Assistant to serve as the operational backbone for a fast-paced executive and real estate investor as he expands his event portfolio.
This role demands a resilient, direct, and exceptionally organized professional. Your primary responsibility will be to maximize the executive's productivity, manage complex scheduling, and oversee event logistics with absolute precision. We are looking for a proactive self-starter who excels at independent problem-solving and thrives in a high-accountability environment. Comprehensive training on our internal systems is provided—your drive, tech-savviness, and professional mindset are our top priorities.
Key Responsibilities
- Executive Management & Accountability: Act as the strategic gatekeeper and driver of daily operations. Manage timelines, handle email management, follow up on action items, and keep the executive on schedule.
- Tech & CRM Optimization: Maintain, organize, and maximize our CRM platforms. Leverage AI tools, Google Workspace, Microsoft Office, and modern digital workflows to continuously improve office efficiency.
- Event & Meeting Coordination: Manage logistical preparation for upcoming events and synthesize necessary materials for critical Tuesday evening meetings.
- Operational Structure: Handle daily administrative workflows, digital filing, documentation, and records management with zero margin for error.
Requirements
- Experience: 1–3 years of office or administrative experience is preferred but not required.
- Education: High School Diploma required; Associate's degree preferred.
- Core Mindset: Highly autonomous, solution-oriented, and capable of managing firm boundaries. You approach operational challenges with logic and execution, maintaining a strict boundary between personal matters and workplace responsibilities.
- Technological Proficiency: Genuinely tech-fluent. You have strong experience working within CRMs, are highly proficient in Google Workspace, Microsoft Office, and have an interest in utilizing AI to streamline administrative tasks, and have the ability to master new software quickly.
- Role Focus: To maintain absolute focus on our core operations, we are not accepting applications from active, practicing real estate agents.
Position Overview & Perks
- Comprehensive Training: Prior specialized industry experience is not required. We will thoroughly onboard you to our specific corporate processes, workflows, and digital tools.
- No Licensing Required: There are no real estate or legal licensing requirements for this position.
- Schedule: Full-time, Monday through Friday, with a flexible option for two half-days per month (to be structured at a later date).
- Timeline: We are looking to fill this position ASAP once the right candidate is identified
