Dermatology practice is seeking an experienced, people-focused Office Manager to lead the daily operations of our growing private practice.
This is not a traditional administrative office manager position. We are looking for an exceptional leader who thrives in a fast-paced environment, enjoys coaching and developing people, and can confidently navigate the challenges that come with leading a busy medical practice.
The Office Manager serves as the day-to-day leader of our team. Success in this role isn't measured simply by keeping the schedule moving—it's measured by building a positive culture, supporting employees, solving problems in real time, creating an exceptional patient experience, and ensuring our physicians and staff have what they need to succeed.
This position reports directly to the Director of Operations and the physician owners.
What You'll Do:
Lead the Team
- Serve as the on-site leader for all daily office operations.
- Coach, mentor, and develop clinical and administrative team members.
- Foster a culture of accountability, professionalism, teamwork, and mutual respect.
- Conduct regular check-ins with employees and provide ongoing coaching and feedback.
- Address employee concerns and interpersonal conflict with professionalism and emotional intelligence.
- Build morale by recognizing accomplishments and creating an engaging, supportive workplace.
- Partner with department leads to ensure clear communication and accountability throughout the practice.
Own the Daily Operation
- Ensure the practice operates smoothly each day.
- Anticipate operational challenges and solve problems before they impact patients or providers.
- Monitor clinic flow and adjust staffing or resources as needed.
- Support providers by ensuring they have the staff, equipment, and resources needed throughout the day.
- Maintain a visible presence throughout the practice and proactively assist wherever needed.
- Ensure policies and procedures are consistently followed.
Create an Exceptional Patient Experience
- Resolve escalated patient concerns with professionalism, empathy, and sound judgment.
- Support staff in handling challenging patient situations.
- Identify opportunities to improve the overall patient experience.
- Maintain the high level of customer service our patients expect.
Support Operational Excellence
- Partner with the Director of Operations to implement new workflows, policies, and operational initiatives.
- Assist with onboarding new employees and coordinating training.
- Ensure communication flows effectively between physicians, leadership, and staff.
- Monitor office supply inventory and coordinate ordering.
- Assist with practice projects and administrative initiatives as assigned.

Qualifications
Required:
- 3+ years of leadership or management experience
- Demonstrated success leading teams in a fast-paced, customer-focused environment
- Excellent communication, interpersonal, and conflict resolution skills
- Strong organizational and time management abilities
- Ability to prioritize multiple competing responsibilities while maintaining attention to detail
- Professional, positive, and solution-oriented mindset
Preferred
- Medical office leadership experience
- Dermatology or plastic surgery experience
- Experience leading multidisciplinary teams
- Bachelor's degree or equivalent leadership experience
What This Role Is NOT
This position focuses on leading people and the daily operation of the practice.
Financial planning, payroll, benefits administration, budgeting, strategic planning, revenue cycle management, and other business operations are managed by the Operations Manager. The Office Manager partners closely with the Operations Manager to execute initiatives and ensure the practice operates efficiently each day.

Pay: $60,000.00 - $65,000.00 per year
