Job Overview:
Narvick Bros. is seeking a highly organized and detail-oriented Project & Billing Administrator to support our construction and ready-mix operations.
This role is responsible for project billing, pay applications, accounts receivable support, lien waivers, project documentation, and administrative coordination. The ideal candidate will thrive in a fast-paced construction environment and help ensure projects are billed accurately, documentation is maintained properly, and operations run efficiently.
This position works closely with company leadership, project managers, field personnel, accounting, customers, and subcontractors.
Responsibilities:
- Prepare and submit owner pay applications
- Assemble billing backup documentation
- Maintain schedules of values
- Track billing deadlines and payment status
- Assist with customer invoicing and accounts receivable follow-up
- Maintain project files and documentation
- Track and manage change order logs
- Process and maintain lien waivers
- Manage subcontractor insurance certificates and compliance documentation
- Assist with project closeout documentation including warranties, O&M manuals, and as-built records
- Verify priced order sheets and customer billing information
- Review pricing, taxes, fuel surcharges, and related billing data
- Maintain pricing records and updates
- Process project sheets and material tickets
- Assist with customer billing inquiries
- Support waiver preparation and documentation as needed
- Assist with accounts payable and accounts receivable processes
- Support accounting staff with documentation and record keeping
- Maintain organized electronic and physical filing systems
- Assist leadership and project teams with administrative tasks related to active projects
- Other duties as assigned
Qualifications:
- 2+ years of administrative experience in construction, contracting, ready-mix, trucking, or a related industry
- Experience with construction billing and pay applications
- Experience with lien waivers and project documentation
- Experience supporting accounts receivable and accounts payable functions
- Experience working with QuickBooks
- Strong Microsoft Excel and Microsoft Office skills

Pay: $18.00 - $22.00 per hour
Education:
- High school or equivalent (Preferred)
Experience:
- Construction administrative: 2 years (Preferred)
