Position Overview
We are seeking a Center of Apprenticeship Excellence Administrative Support Specialist to serve as the first point of contact for apprentices, employers, instructors, members, guests, and callers. This position provides front office support while serving as the administrative hub of the Center of Apprenticeship Excellence and Apprenticeship Department. The ideal candidate is highly organized, customer-focused, technology savvy, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Front Desk & Office Support
- Answer and route incoming telephone calls to appropriate staff.
- Welcome and assist members, apprentices, employers, instructors, and guests.
- Provide general office support, including mail distribution and shipping.
- Maintain inventory of office supplies.
- Assist with filing, document preparation, correspondence, and other administrative tasks.
Instructor Team Support
- Provide IT and Canvas/Learning Management System (LMS) support.
- Support instructional operations and classroom logistics within the Center of Apprenticeship Excellence.
- Assist with instructor onboarding, classroom resources, and ongoing administrative support.
- Coordinate instructional materials as requested.
Apprenticeship Team Support
- Process apprenticeship applications and maintain student records.
- Serve as the first point of contact for apprenticeship phone calls and general inquiries.
- Provide service desk support to apprentices, Apprenticeship Managers, and instructors.
- Provide administrative support throughout the apprenticeship process.
- Maintain apprenticeship databases and student files with accuracy and confidentiality.
- Support accounts payable/accounts receivable processing for apprenticeship operations.
Qualifications
- Previous experience in an administrative assistant, receptionist, or office support role.
- Strong organizational skills and attention to detail.
- Ability to multitask, prioritize tasks, and meet deadlines.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Excellent written and verbal communication skills.
- Excellent customer service and interpersonal skills.
- IT support experience or experience with Canvas or another Learning Management System (LMS) preferred.
Reporting Relationship
This position reports directly to the Director of Apprenticeship.
