Job Summary
We are seeking a dynamic and highly organized Executive Administrative Assistant to support senior leadership and ensure the smooth operation of our office. A growing multi-location pain management and integrated care practice is seeking an experienced Executive Administrative Assistant to provide high-level administrative support directly to the Medical Director while also serving as a hands-on contributor to the practice's human resources, operations, and marketing/business development functions. This is a hybrid role suited to a healthcare administrative professional who combines executive-level organizational discipline with practical HR, day-to-day practice operations, and marketing/referral-development experience. The role is central to keeping practice leadership's calendar, communications, and priorities organized while supporting recruiting, employee documentation, clinic operational coordination, referral outreach, and practice growth initiatives.
Duties
- Minimum of five (5) years of combined human resources, operations, and marketing / business development experience, with prior experience in a healthcare or medical practice setting required.
- Prior experience providing executive-level administrative support, ideally to a physician, medical director, or senior practice leader.
- General accounting experience, including familiarity with QuickBooks, is not required but is highly encouraged.
- Demonstrated experience supporting day-to-day practice or clinic operations (scheduling, workflow coordination, multi-location logistics, vendor/contract tracking) in a healthcare setting.
- Strong organizational skills with demonstrated ability to manage multiple priorities, deadlines, and confidential information accurately.
- Working knowledge of HR documentation practices (offer letters, personnel files, FCRA-compliant background check processes, onboarding) and general employment compliance concepts.
- Familiarity with healthcare marketing or referral-development activity (payer/provider outreach, community engagement, digital/social presence) preferred.
- Excellent written and verbal communication skills; professional demeanor when representing the Medical Director and practice externally.
- Proficiency with Microsoft Office / Google Workspace / AI platforms; comfort learning practice HR, scheduling, and EHR-adjacent systems.
- Bachelor’s degree in business administration, Healthcare Administration, Human Resources, Marketing, or related field preferred; equivalent experience will be considered.
- High degree of discretion and sound judgment when handling sensitive personnel, patient-adjacent, and executive information.

Pay: $55,000.00 - $60,000.00 per year
