POSITION SUMMARY: The Medical Records is under the Medical Records Supervisor in Red Bluff and the Front Office supervisor in Greenville. Medical Records has comprehensive medical records responsibilities and deals with confidential patient information. Maintain a patient health record system in an organized, legal and safe manner. To know and understand all applicable medical records regulations and how they apply to Tribal health programs.
General qualifications: An eligible candidate must possess (and/or maintain) the following:
- Must be over the age of 18 years.
- High school diploma or General Educational Development (GED).
- At least one year of experience in medical records.
- Reliable employment history.
- Ability to pass a pre-employment drug and alcohol screen, criminal background check including fingerprinting in accordance with all applicable laws regarding the nature of the employment.
- Requires current certification, or ability to obtain certification in Cardiopulmonary Resuscitation (CPR) and first aid.
- This position requires an awareness and keen appreciation of American Indian traditions, customs, and socioeconomic needs and the ability at all-times to meet and deal effectively in contact with Indian Health organizations which requires tact, courtesy, discretions, resourcefulness, and good judgment in handling functions of a sensitive nature.
DIRECT RESPONSIBILITIES: The following position responsibilities are rated as part of the employee’s competency-based performance appraisal. Within the parameters established by the Tribal Council, approved Greenville Rancheria Personnel Policies and Procedures.
Direct Duties:
- Scar patient's labs, radiology reports, prescriptions, etc., in an orderly, organized system, in a timely manner in accordance with established scanning procedures using NextGen. The reports to be scanned, must first be reviewed by a provider and signed off prior to being scanned into NextGen. Refer to the Medical Records/Scanner job description and desk top procedure for scanning instructions.
- Use good time management, organizational, and prioritization skills.
- Answer and direct calls using a multi-line telephone system. Use NextGen by sending messages through tasking or telephone encounters using Practice Management (PM) or Electronic Health Records (EHR) to the providers, CMA's and other staff in a fast paced office setting where friendly, timely and professional attitudes are essential. Transfer all calls to the appropriate department such as transport or billing. Patient's messages need to be documented in patients EHR and sent to provider, CMA etc.
- Maintain a high level of patient and staff confidentiality. Abide by all laws that apply under Health Insurance Portability and Accountability Act (HIPAA) and the Health Information Technology for Economic and Clinical Health (HITECH) notice of privacy practices.
- Assist the front office receptionist as needed as a back up to answer phones.
- Other duties as assigned.
Customer Service:
- Provide input, initiate, and embrace changes that will continually improve the operation of the Greenville Rancheria and assist the Tribal Council and Tribal Membership in growth, efficiency, and prosperity.
- Use tact, sensitivity, sound judgment, and a professional attitude when relating to patients, families, and co-workers.
- Greet patients with courtesy and respect.
- Demonstrate a high level of emotional and mental tolerance when dealing with ill patients; use tact, sensitivity, sound judgment, and a professional attitude when relating to patients, families, and co-workers.
- Other duties as assigned.
Program Operational Duties:
- As new labs, diagnostics tests, consults, are received via fax have provider sign them and then the CMA will scan them into the EHR.
- Receives prescriptions request via fax, gives the provider or to the CMA for the provider to sign, then the CMA will scan into the :EHR.
- Keeps a hold section of records :that have been received on new patient's to be seen at a later date/appointment by the providers.
- Handles authorizations for use or disclosure of protected health information.
- Manages outgoing and incoming mail.
- All incoming mail without a specific name will be given to a designated CMA to disperse or to the Front Office Supervisor.
