The Customer Service Representative serves as the primary point of contact for customers throughout the order lifecycle and will work closely with Engineering, Production, Sales, Purchasing, and Scheduling to ensure customer expectations are met.
The ideal candidate is highly organized, detail-oriented, and committed to providing exceptional customer service while supporting operational goals.
Essential Duties and Responsibilities
· Receive, review, and process customer purchase orders, requests for quotations (RFQs), change orders, and related documentation.
· Prepare, coordinate, and track customer quotations, including spare parts quotations, to ensure timely completion and follow-up.
· Review orders for accuracy, pricing, specifications, and customer requirements prior to processing.
· Enter and maintain customer orders, quotations, pricing, and related information in the MRP system.
· Provide order acknowledgements, estimated ship dates, and order status updates to customers.
· Prepare and distribute sales packages and order documentation for production.
· Coordinate with Engineering, Production, Purchasing, Scheduling, Sales, and other departments to ensure customer requirements and delivery expectations are met.
· Respond to customer inquiries regarding orders, deliveries, product information, warranty requests, and general service needs.
· Process tariff adjustments, pricing revisions, and customer-requested order changes as needed.
· Maintain accurate customer files, order documentation, quotations, and departmental records.
· Build and maintain positive customer relationships through professional, timely communication and effective problem resolution.
· Assist with special projects and perform other duties as assigned.
Qualifications
· High school diploma or equivalent required; associate degree in Business or related field preferred.
· Previous customer service, order entry, inside sales, or manufacturing experience preferred.
· Experience working with MRP systems is preferred.
· Proficiency in Excel, Word, and Adobe software.
· Strong organizational skills with exceptional attention to detail.
· Excellent written and verbal communication skills.
· Ability to prioritize multiple tasks and meet deadlines in a fast-paced manufacturing environment.
· Strong problem-solving skills and the ability to work collaboratively across departments.
