A rapidly growing security firm is seeking a proactive, tech-savvy, and highly organized Executive
Assistant to the CEO.
This role is more than just administrative support-it is a critical strategic partner to the CEO, ensuring
operational efficiency,
structure, and follow-through across multiple initiatives.
The ideal candidate thrives in a fast-paced, high-growth environment, bringing order to chaos,
anticipating needs, and solving
problems before they arise. They should be comfortable working with CRM software, QuickBooks,
and basic marketing tools,
making data-driven decisions, and keeping key priorities on track.
The CEO is a visionary leader who needs an EA who can execute, not just take direction. This
person should be an independent
thinker who doesn't need to be micromanaged-someone who identifies what needs to get done and
makes it happen.
This is a hybrid role: in-office Monday through Thursday, with remote work on Fridays.
Key Responsibilities:
- Own the CEO's workflow - proactively manage emails, calendars, priorities, and action items.
- Implement and maintain organizational systems that improve efficiency and structure.
- Attend key meetings, take clear notes, summarize takeaways, and track action items to ensure
execution.
- Handle confidential and sensitive information with discretion.
- Screen incoming communications, prioritize responses, and ensure follow-ups are completed.
- Run reports in Salesforce and track KPIs to support business decisions.
- Research and implement health insurance options for the company.
- Assist in hiring and onboarding, including scheduling and conducting initial candidate interviews.
- Coordinate internal and external meetings, ensuring all stakeholders are aligned.
- Manage light bookkeeping tasks in QuickBooks, including processing expense reports.
-Work with vendors and clients, acting as a professional point of contact. - Assist with basic marketing tasks, such as overseeing digital outreach efforts and managing CRM data. - Identify opportunities to improve workflows and eliminate inefficiencies. - Take charge of special projects and ad hoc tasks as needed.

Qualifications: - 5+ years of experience in an Executive Assistant, Operations, or Business Support role. - Bachelor's degree preferred but not required. - Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). - Strong experience with Salesforce (or similar CRM), QuickBooks, and marketing tools. - Excellent written and verbal communication skills.
