SUMMARY
The Account Services Specialist I – Alternative Funds is integral to Retail Alternatives transfer agent operations, focusing on the overall servicing of new accounts, daily and periodic close controls, repurchases, tenders, capital calls, and accurate record-keeping for Alternative fund clients. This role entails minimal direct client interaction but requires substantial collaboration with internal team members, support teams, broker-dealers, custodians, and other related departments.
KEY ACCOUNTABILITIES
- Accurately inputs customer data from subscription documents to establish new Alternative fund accounts.
- Updates new account and funding status in key third-party or industry portals, as applicable.
- Processes basic Alternative fund transactions, including purchases, repurchases, tenders, capital calls, bonus share issuances, Cap/Track/Convert exchanges, transfer in kind, and change of ownership requests.
- Coordinates fund closings for daily and periodic close structures, ensuring processing is completed accurately and on schedule.
- Monitors warehoused purchases, transfers, and repurchases through the warehouse window, ensuring timely follow-up through the applicable close or event date.
- Runs reporting for capital call events, supports call letter or email issuance, and processes commitments when received.
- Reconciles trades associated with product closes or events and coordinates money movement support with sponsors and Control on a periodic basis.
- Communicates with broker-dealers, custodians, clients, or internal partners to obtain missing information and resolve processing questions.
- Supports account maintenance, returned mail, event tracking, and control report clean-up activities as needed.
- Submits procedure update requests when procedures require addition, deletion, or revision.
WORKING RELATIONSHIPS
- Engages with clients, broker-dealers, custodians, and internal partners as necessary for general information, issue resolution, inquiries, or reporting needs.
- Maintains daily communication with team members and related departments for inquiry follow-ups and workflow management.
May perform other duties as required and assigned.
EDUCATION AND EXPERIENCE
- Bachelor’s degree in business administration or a related field.
- 1-3 years of experience in client services, transfer agent operations, financial operations, or a related field.
- Background in the financial services industry.
- Series 6 license is an asset.
KNOWLEDGE
- In-depth understanding of Non-Registered and Registered Retail Alternatives products, including REITs, BDCs, CEFs, interval funds, tender offer funds, and unitized private structures.
- Knowledge of mutual funds, Alternative investment offerings, transfer agent operations, and related servicing requirements.
- Microsoft Office Suite.
- Adobe Acrobat.
