Responsibilities
- Monitor the MP-NSW Quote Log daily and update project statuses, outcomes, and relevant notes in real time.
- Regularly check and manage the MP-NSW Bid Request email account, ensuring all incoming requests are reviewed, logged, and assigned promptly.
- Prioritize and manage time effectively to meet strict bid deadlines and submission requirements.
- Create organized job folders (digital and/or physical) for each project opportunity.
- Download, review, and file plans, specifications, addenda, and other project documents into the corresponding job folders.
- Create new projects in FACTS (or other CRM/ERP system) and add customers requesting bids or quotes.
- Communicate clearly and professionally with internal team members (estimators, project managers, sales engineers), manufacturers, contractors, and engineers as needed.
- Schedule and create meetings or follow-ups for Target projects and other high-priority opportunities.
- Provide administrative and logistical support to Estimators and Project Managers as required, including data entry, document preparation, and follow-up on outstanding items.
- Actively participate in sales trainings, team meetings, and manufacturer product sessions to stay informed on HVAC equipment lines and industry trends.
- Assist with special projects, reporting, or administrative tasks as assigned by management.
Qualifications
- High school diploma or equivalent (Associate’s degree preferred).
- Strong organizational skills and attention to detail.
- Excellent time management and ability to prioritize multiple deadlines.
- Proficient in Microsoft Office (especially Outlook, Word, Excel) and comfortable learning internal software systems (e.g., FACTS, quote logs, cloud storage).
- Effective written and verbal communication skills.
- Ability to work independently and collaboratively in a team environment.
