Position Summary
Pink Ribbon Connection is seeking a compassionate, highly organized, and mission-driven Office Manager & Care Navigator to oversee the daily operations of our office while serving as a welcoming first point of contact for individuals navigating a breast cancer diagnosis.
This position plays a vital role in ensuring our office operates efficiently while providing compassionate support to patients and families. The Office Manager & Care Navigator assists individuals in accessing Pink Ribbon Connection's free resources, educational programs, peer mentoring, and emotional support services. Working closely with the Executive Director, this individual helps advance our mission of ensuring no one faces breast cancer alone.
Primary ResponsibilitiesPatient Care Navigation
- Welcome patients, caregivers, and healthcare partners with warmth, empathy, and professionalism.
- Conduct patient intakes and assess resource needs.
- Provide free breast cancer resources, including wigs, post-surgical garments, prostheses, mastectomy bras, comfort items, educational materials, and other support services.
- Coordinate fittings for wigs, bras, and prosthetic products as appropriate.
- Connect patients with Peer Mentors and other emotional support resources.
- Maintain accurate patient records and resource distribution using Bloomerang CRM.
- Collaborate with hospitals, healthcare providers, and community partners to ensure patients receive timely support.
- Follow up with patients to provide ongoing encouragement and assistance.
Office Management
- Oversee the day-to-day operations of the Pink Ribbon Connection office.
- Manage office inventory and patient resource supplies.
- Coordinate volunteers and assist with scheduling.
- Maintain organized filing systems and office procedures.
- Coordinate office equipment, vendors, and facility needs.
- Ensure the office remains welcoming, organized, and mission-focused.
Administrative Support
- Assist the Executive Director with scheduling, correspondence, reports, and special projects.
- Prepare meeting materials, agendas, and supporting documents.
- Assist with Board of Directors and committee meeting logistics.
- Track projects, deadlines, and organizational initiatives.
- Support donor acknowledgment and administrative fundraising activities.
Event & Community Engagement
- Assist with planning and execution of Pink Ribbon Connection events, including:
- Stars of Pink Survivor Fashion Show
- Community outreach events
- Educational programs
- Fundraising events
- Volunteer activities
- Coordinate event registrations, materials, and volunteer support.
- Represent Pink Ribbon Connection professionally at community events when needed.
Data Management & Communications
- Maintain accurate records in Bloomerang CRM.
- Assist with patient, donor, volunteer, and partner communications.
- Prepare reports and maintain organizational documentation.
- Support newsletters, mailings, and outreach communications as requested.
- Collaborate with the Executive Director to develop marketing materials that promote programs, fundraising campaigns, events, and patient services.
- Maintain brand consistency across print and digital communications while helping tell the stories that inspire awareness, engagement, and support.
QualificationsRequired
- Associate's degree or equivalent professional experience.
- Minimum of three years of office management, healthcare administration, nonprofit administration, or customer service experience.
- Exceptional organizational and time management skills.
- Outstanding interpersonal and communication skills.
- Strong computer proficiency, including Microsoft Office and Google Workspace.
- Ability to manage multiple priorities while maintaining accuracy.
- Professionalism, discretion, and confidentiality.
- Compassionate, patient-centered approach to serving individuals during difficult circumstances.
Preferred
- Experience in healthcare, patient navigation, or nonprofit organizations.
- Experience with CRM software, preferably Bloomerang.
- Experience coordinating volunteers or community programs.
- Event planning or fundraising support experience.
- Knowledge of breast cancer resources or survivorship services is a plus.

Pink Ribbon Connection is Indiana's only statewide breast cancer support organization providing free resources, meaningful education, and heartfelt emotional support to anyone affected by breast cancer. Through direct patient services, peer mentoring, educational programming, and community outreach, we ensure that no one faces breast cancer alone.
Pay: $25.23 - $30.38 per hour
