Introduction: Front Desk / Patient Experience Coordinator – Medical Spa (South Florida) We are a growing, high-end medical spa in South Florida seeking an experienced and dynamic Front Desk / Patient Experience Coordinator to join our team. This is not a passive reception role. We are looking for someone with a strong, engaging personality who can build relationships, enhance the patient experience, and actively contribute to business growth. Position Overview: The ideal candidate has prior experience in a medical spa environment and understands aesthetics services, treatment flow, and client expectations. Most importantly, we are seeking someone confident, polished, and sales-minded who can convert inquiries into booked appointments and foster long-term client loyalty. Key Responsibilities: - Greet and check in clients with professionalism and warmth - Manage scheduling, confirmations, and follow-ups - Convert phone and online inquiries into booked consultations and treatments - Educate clients on services, memberships, and packages - Support promotional campaigns and upsell appropriate services - Maintain a clean, organized, and welcoming front desk area - Coordinate with clinical providers to ensure seamless patient flow Qualifications: - Minimum 1–2 years experience in a medical spa or aesthetic practice required - Strong sales and customer service background - Confident communicator with excellent interpersonal skills - Highly organized and detail-oriented - Comfortable discussing aesthetic treatments and pricing - Experience with EMR/scheduling systems preferred What We’re Looking For: Someone who naturally connects with people, takes initiative, and understands that the front desk sets the tone for the entire practice. Patient Interaction:
- Greet and check-in patients with a warm and professional demeanor.
- Verify and update patient information and insurance details.
- Schedule patient appointments and manage the appointment calendar efficiently.
- Answer phone calls, address inquiries, and handle appointment scheduling.
Administrative Duties:
- Maintain a clean and organized reception area.
- Process patient payments and handle billing inquiries.
- Coordinate with medical staff to ensure smooth patient flow.
- Prepare and process medical records and documentation.
- Assist with patient referrals and follow-up appointments.
Customer Service:
- Provide exceptional customer service, addressing patient concerns and needs with empathy and professionalism.
- Resolve any issues or complaints promptly and escalate as necessary.
- Maintain confidentiality and adhere to HIPAA guidelines.
Qualifications:
- Previous experience in a medical office or healthcare setting preferred.
- Familiarity with cardiology terminology is a plus.
