We’re on the hunt for a friendly, sharp, and detail-driven Administrative Front Desk Coordinator to join our vibrant TitleQuest team! If juggling calls, coordinating schedules, and creating a warm, welcoming space sounds like your kind of day—keep reading!
What You’ll Do (and totally rock at):
Front Desk Magic:
Be the first face and voice of TitleQuest! Greet clients, manage calls, and keep the reception area looking polished and professional.
Client Experience Extraordinaire:
Help clients feel seen, heard, and taken care of. You’ll be their go-to person for questions, guidance, and good vibes.
Contract Kickoff & Data Wizardry:
Open and process purchase/sale transactions, input contract data, and make sure everything flows seamlessly and accurately.
Paperwork Pro:
Prepare, review, and manage all those essential documents—neatly, correctly, and error-free (you’ve got this!).
File Guru:
Keep physical and digital files in tip-top shape so nothing gets lost in the shuffle.
Error Slayer:
Follow procedures that keep mistakes at bay and processes running smooth as butter.
Cross-Team Connector:
Work hand-in-hand with departments across the office to keep communication flowing and deadlines on point.
Admin Rockstar:
Support the office with calendar coordination, email management, correspondence, and resource organizing.
Office Vibe Keeper:
Keep the breakroom, conference rooms, and front desk fresh, clean, and client-ready at all times.
Customer Service Star:
Anticipate needs, answer questions, solve little hiccups, and keep the energy positive and professional.
What You Bring to the Table:
- High school diploma or equivalent (Bonus points for admin/real estate certifications!)
- Experience in reception, data entry, or administrative roles (Real estate or legal background = gold star)
- Eagle-eye for detail and a love for accuracy
- Discretion with sensitive information
- Positive, polished, and client-focused attitude
- Strong organizational and multitasking skills
- Clear and confident communication skills
- Microsoft Office pro (Word, Excel, Outlook)
- Experience with real estate/legal software is a plus!
