Bookkeeper / Office Administrator (Full-Time)
This position reports directly to the Managing Director and supporting the Executive Director and plays a key role in supporting the financial operations and day-to-day administration of the organization. The role is primarily remote, with an expectation to be in the Robbinsville, NJ office approximately 1–2 times per week to manage mail and office needs.

POSITION SUMMARY
Reporting to the Managing Director and support the Executive Director, the Bookkeeper / Office Administrator is responsible for managing the organization’s bookkeeping functions, supporting financial reporting, and overseeing office administration and HR coordination. This role is integral to ensure smooth internal operations and support staff, leadership, and member services.
KEY RESPONSIBILITIES
Financial / Bookkeeping
- Manage all accounts payable/receivable, invoicing, and banking activities
- Perform monthly reconciliations of bank and investment accounts
- Maintain operating accounts and reserve funds
- Work closely with external accounting and auditing firms to ensure accurate financial reporting and GAAP compliance
- Support dues processing, event registrations, refunds, and financial tracking
- Ensure compliance with federal, state, and local financial and reporting requirements
- Assist with audits, tax documentation, and required certifications
Office Administration
- Manage the physical office, including mail, deliveries, and vendor coordination
- Liaise with landlord and service providers as needed
- Coordinate office supplies, equipment, and staff needs
- Work with IT vendors to support staff technology and equipment
- Oversee staff expense reporting, credit card usage, and reimbursements
- Support logistics for meetings, events, and DCAT Week operations
Human Resources Support
- Track employee PTO, vacation schedules, and ensure adequate coverage
- Work with third-party benefits providers to support employee benefits (healthcare, 401k, etc.)
REQUIREMENTS
- 5–6+ years of bookkeeping or accounting experience
- Degree in accounting, finance, business, or equivalent experience
- Experience with accounting software (QuickBooks, Sage Intacct, or similar required; training provided)
- Proficiency in Microsoft Office, especially Excel
- Strong organizational skills with the ability to manage multiple priorities
- Clear written and verbal communication skills
- Ability to work independently while collaborating with staff and external partners
- Attention to detail and strong problem-solving abilities
- Prior association or nonprofit experience is a plus
ADDITIONAL EXPECTATIONS
- Ability to travel to the Robbinsville, NJ office twice weekly as needed
- Attendance at DCAT Week (one week annually in New York City)
- Comfortable working in a remote environment with consistent communication

Pay: $27.00 - $31.00 per hour
