Overview
We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! With expertise in Quick Books/Intuit, Bill, Dext, Xero, Ramp, Fathom, Jirav, Net Suite, Pilot, Graphite Financial CFO share etc. Must have expertise in haealth care accounting and bookeeping. Vital role combines essential bookkeeping responsibilities with administrative support, ensuring smooth office operations and accurate financial management. Your contributions will directly impact our ability to serve clients effectively while maintaining a welcoming and organized office environment.
Responsibilities
- Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
- Provide front desk support by greeting visitors, answering multi-line phone systems, and directing calls with professionalism and courtesy
- Handle data entry, filing, and document proofreading to ensure accuracy and organization of all office records
- Support office management duties such as calendar management, scheduling appointments, and coordinating meetings
- Assist with customer service by responding to inquiries via phone or email, providing support and information as needed
- Maintain office supplies inventory and oversee general clerical tasks including photocopying, scanning, and mail distribution
- Utilize Microsoft Office Suite and Google Workspace tools for document creation, spreadsheets, and collaborative projects
Experience
- Prior office experience in administrative roles or as a receptionist is highly preferred
- Demonstrated proficiency with QuickBooks for bookkeeping tasks
- Experience managing multi-line phone systems and providing excellent phone etiquette
- Bilingual abilities are a plus for supporting diverse client needs
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Familiarity with office management software such as Microsoft Office and Google Workspace
- Previous clerical experience involving data entry, filing, proofreading, and customer support is highly desirable
- Personal assistant or medical/dental receptionist experience is an added advantage for understanding specialized workflows
