We are seeking a highly organized and detail-oriented Office Manager to oversee the daily administrative operations of our community-based organization. The ideal candidate will ensure the office runs efficiently, provide exceptional support to staff and leadership, coordinate office activities, and maintain a welcoming environment for clients, visitors, and community partners. This role requires strong organizational, communication, and multitasking skills.
Responsibilities
- Manage the day-to-day operations of the office to ensure efficiency and productivity.
- Greet visitors, clients, and community partners in a professional and welcoming manner.
- Answer and direct incoming phone calls, emails, and other correspondence.
- Coordinate calendars, meetings, appointments, and conference room scheduling.
- Maintain office supplies, equipment, and vendor relationships.
- Process invoices, expense reports, and assist with budget tracking.
- Prepare reports, presentations, spreadsheets, and other administrative documents.
- Maintain confidential employee, client, and organizational records.
- Assist with onboarding new employees and provide administrative support for HR functions.
- Coordinate office events, staff meetings, trainings, and community outreach activities.
- Monitor office procedures and recommend process improvements.
- Support leadership with special projects and administrative tasks.
- Ensure compliance with company policies, safety procedures, and confidentiality standards.
- Collaborate with internal departments and external partners to support organizational goals.
Qualifications
- Associate's degree preferred; High School Diploma or equivalent required.
- Minimum of 5 years of office management or administrative experience.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to prioritize multiple tasks.
- Experience with scheduling, recordkeeping, and office administration.
- Ability to maintain confidentiality and exercise sound judgment.
- Professional, dependable, and customer service-oriented.
- Bilingual (English/Spanish) preferred.
